Introducing Documents: Simple Yet Powerful Knowledge Hub

Today we’re thrilled to introduce Documents. This feature is designed to help you organize team knowledge, streamline collaboration, and manage everything from project notes to company policies—all within a single tool.

Whether you’ve been juggling between Google Docs, Apple Notes, or specialized tools like Bear, Slite, or Evernote, you know how challenging it can be to keep everything in one place. Many project management systems, like Asana or Jira, have built-in note tools, but they often come with limitations—notes tied to specific projects, complicated enterprise-level setups, or extra costs.

We’re bringing a simpler, team-centric solution that lives within Everhour, and super easy to use, without extra costs.

How It Works

Using Documents is as simple as it gets:

  • 📂 Folder Structure: The left panel shows your document tree. You can expand, collapse, or rearrange folders and move documents between them with drag-and-drop functionality.
  • 📝 Content Area: The right panel displays the selected folder or document. Whether you’re creating a checklist, drafting a policy, or documenting team workflows, it’s all just a click away.

  • 🔒 Permissions: Permissions are set at the top-level folder:
    • Restricted: Private to the creator by default (you can add specific users, groups, or roles).
    • Everyone Viewer: Accessible to everyone in the team for viewing.
    • Everyone Editor: Accessible to everyone in the team for editing.
      Subfolders and documents automatically inherit the parent folder’s permissions.

Getting Started with Documents

To make onboarding even easier, we’ve preloaded a sample folder called “📚 Welcome Guide” with example documents to showcase how the feature works. Here’s what you’ll find:

  • Intro: A quick overview of Documents.
  • Example: Developer Job Post: Learn how to structure job postings and recruitment workflows.
  • Example: Time Off Policy: See how to clearly document company policies.
  • Example: New Hire Checklist: Explore how onboarding tasks can be managed with ease.

These examples ensure you won’t face an empty screen when you start using Documents. Instead, you’ll have a helpful guide to inspire you.


Turn It Off If You Don’t Need It

While Documents is enabled by default, you can disable it in the Apps section of Everhour settings if it’s not needed. But we’re confident you’ll find it to be an indispensable tool for your team!


What’s Next?

This is just the first version of Documents, and we’re already working on exciting improvements. For example, inline images are coming soon, and we’re actively gathering feedback to shape the future of this feature.
