You came to turn Basecamp project work into a client-facing billing trail. The practical output is a set of approved hours tied to the right project, to-do, list, person, and billing treatment. Basecamp remains the place where project work is organized through projects, lists, to-dos, assignees, and due dates. Everhour adds the time, rate, budget, and reporting layer for billing review.
A usable billing record separates time the client should pay for from internal time that still belongs in project analysis. Discovery, revisions, implementation, meetings, and admin work can all appear in the same project record, but only the billable portion should feed the client amount. Keep non-billable work visible for margin review instead of deleting it from the story.
Everhour sets billing status at the project level, so a Basecamp project can use an hourly project rate, hourly member rate, fixed fee, or non-billable status. Within a billable project, specific to-dos can be marked non-billable when their time should stay out of invoice totals. For time-and-materials work, admins can also set custom task rates from a task title in Everhour.
Rate setup should match the client agreement before work starts. A project rate fits uniform pricing, member rates fit teams with different seniority or roles, and task-level overrides fit work billed differently from the rest of the project. For projects billed by member rate, setting a member's project rate to 0 makes that member's time non-billable for that project.
A defensible client billing report shows the work context, the person, the time, the billing status, and the amount source. Everhour's Basecamp report columns can include project, to-do, list, task ID, and task status, which gives reviewers the project structure behind each entry. Add billable time, non-billable time, billable amount, and cost when admins need the money view.
The common mistake is treating every logged hour as invoice-ready. Client billing needs a review step for missing notes, wrong task selection, internal work left as billable, or the wrong rate basis. Approved reports should line up with the client's contract terms and explain why specific Basecamp to-dos became charges on the invoice.
A one-off tally works for a small client job when the project has few to-dos, one rate, and no approval path. It breaks down when several people log time, internal work must stay visible, rates vary by person or task, or the client expects a clean invoice breakdown. Manual spreadsheets also make it easier to reuse time already billed.
Everhour supports a managed billing workflow by keeping tracked Basecamp time in reports, pricing billable work from project, member, or task rates, and marking invoiced time after invoice generation. Approved, rate-priced hours can move into billing without re-keying, while non-billable time stays available for profitability review.

Set the project's billing treatment first, then mark specific to-dos non-billable when their work should not appear in client totals. This keeps internal work visible in reporting while excluding it from billable amounts. For member-rate projects, a member's project rate can be set to 0 when all of that person's work on the project is non-billable.
Use a project rate when the client pays one hourly rate for the full project. Use member rates when each person's work bills at a different rate. Use custom task rates for time-and-materials projects when a specific task needs different pricing from the main project setup. Fixed-fee projects belong in a separate budget review because the invoice amount is not driven only by hours.
A client-facing time report should show the project, to-do, list or section, person, time, billing status, and billable amount when money details are appropriate. Comments or notes should explain work that is hard to recognize from the task title alone. Admins should review non-billable time separately so internal effort does not disappear from profitability analysis.
The most common mistake is skipping billing review before invoice creation. Internal meetings, rework, training, or admin tasks can be logged against the same project as client work. Mark those to-dos non-billable before the invoice is generated, and confirm that each rate matches the client agreement for the period being billed.
Approved hours should move from the time report into the invoicing step after the billing status, rate, and client details are reviewed. Everhour can generate invoices from uninvoiced billable time and expenses, calculate amounts from rates and time, exclude non-billable work, and group invoice line items by the breakdown the client expects.
Everhour Reporting lets admins build billing reports with 45+ columns, including task, project, client, member, comments, billable time, labor costs, profit, invoice status, and budget metrics. Reports can be filtered, grouped, exported as CSV, Excel/XLSX, or PDF, and scheduled by email for recurring billing review.
Everhour Billing & Invoicing marks time as invoiced after it is included in an invoice, so the same hours do not appear again as uninvoiced work. Invoice status, number, issue date, and amount can stay visible in Everhour after export to QuickBooks Online, Xero, or FreshBooks.
Track approved Basecamp hours, review billable reports, and send invoice-ready totals forward with Everhour Reporting for cleaner client billing.
