Project work that becomes client billing

Turn to-dos into charges

Turn Basecamp project work into client-facing invoice time by keeping each logged entry attached to the work the client recognizes: project, to-do, list, person, date, and note. Basecamp holds the to-dos, assignees, and due dates; the billing workflow adds the status, rate, approval, and invoice state that decide what money is owed.

Use it when a client asks for support behind an invoice, when a project has both paid delivery work and internal coordination, or when the same person works across several Basecamp projects in one week. A useful record separates chargeable production from sales calls, admin cleanup, rework outside the contract, and internal review without deleting those non-billable hours from the history.

Price time before invoicing

In the Everhour layer, billing status starts at the Basecamp project. Admins choose hourly project rate, hourly member rate, fixed fee, or non-billable status, then keep exceptions visible at the task level. A billable project can still contain a non-billable to-do, and a time-and-materials project can use a custom task rate when one kind of work has a separate price.

Set the rate rule before the first invoice period closes. A person-based model fits work priced by seniority, a project rate fits one blended hourly agreement, and a task rate fits special work that the client agreed to price separately. Keep internal cost rates separate from billable rates so profitability reports do not confuse labor expense with the amount charged to the client.

Keep billable records defensible

Client-facing time records need enough detail to answer a billing question without reopening the whole project. Keep the Basecamp project, to-do, list, task ID or status where available, person, date, hours, notes, billable status, rate, and invoice status together. Notes should name the work performed and leave private reasoning out of client-facing text.

The common mistake is hiding non-billable work because the invoice should only show chargeable hours. Keep non-billable time in the record so margin, workload, and client scope discussions use the full picture. The client invoice can exclude those hours, while the internal report still shows the cost of project management, revisions, meetings, and cleanup.

Move beyond a manual tally

A one-off tally is enough for a single invoice when the hours are already reviewed, the rate is obvious, and the client does not need a detailed backup report. It breaks down once Basecamp work spans several people, multiple rates, non-billable to-dos, budget alerts, approval steps, or accounting handoff at once.

Everhour gives that workflow a system of record around Basecamp work: embedded tracking controls through the browser extension, project-level billing status, task-level non-billable rules, custom task rates, approved timesheets, invoice generation from uninvoiced time and expenses, and exports to QuickBooks Online, Xero, or FreshBooks as draft invoices. After invoicing, marked time stays out of future invoices.

Frequently Asked Questions

How do you turn Basecamp to-dos into invoice lines?

Start with a reviewed time range, then group entries by the structure the client expects: project, to-do, person, date, or task category. Each invoice line should connect hours to a billing rate and exclude entries marked non-billable. Keep the backup report more detailed than the invoice face so a client can trace the amount without reading every internal note.

Which Basecamp hours should stay non-billable?

Keep hours non-billable when the work supports the project but is outside the client charge agreement. Common examples include internal coordination, sales follow-up, admin cleanup, or warranty work the contract excludes. Preserve those entries in the report because they still affect capacity, margin, and future estimates, even though they should not increase the client's amount due.

How should rates be assigned for client billing?

Choose the rate model that matches the contract before time is approved. A blended project rate prices every billable hour the same way. Member rates price work by person or role. Task-level rates fit agreed exceptions such as a separately priced service category. Mixing models after work is logged creates invoice corrections and weakens the audit trail.

What details belong in a client time backup?

A useful backup shows the project, to-do, list or section, person, date, hours, note, billable status, rate, and invoice status. Include task status or task ID when those fields help the client match work to project history. Remove private commentary from client-facing notes, but keep enough task context to explain the charge.

How do you prevent duplicate billing for the same time?

Close each billing period with an approval step, then mark the included entries as invoiced in the billing record. Future invoice runs should filter for uninvoiced time only. Duplicate billing usually comes from exporting a CSV, editing it manually, and losing the status that separates already invoiced work from time still waiting for billing.

How does Everhour Resource Planning support invoice planning for Basecamp projects?

Everhour Resource Planning gives managers visual timelines with member and project views, weekly capacity, availability gaps, scheduled time off, and planned-versus-actual tracked time. Managers can review whether scheduled work and actual hours match before the billing period closes.

How does Everhour create invoices from Basecamp billable time?

Everhour Billing & Invoicing lets users select uninvoiced time and expenses, preview the breakdown, and generate a client invoice. Amounts come from billable time, project or member rates, and billable expenses, while non-billable tasks stay excluded and invoiced time is marked to avoid reuse.

Turn planned work into invoices

Use Everhour Resource Planning to compare planned capacity with actual tracked time on Basecamp projects, then keep billing review grounded in scheduled work and cleaner Everhour reports.
