A translation invoice gives the client a precise record of the work completed, the billing unit used, the rate, and the amount due. For translators, that usually means word-based, hourly, page-based, or fixed-project pricing. The invoice should also identify the language pair, service type, delivery date, client, translator, invoice number, payment terms, and any agreed extras.
Common translator invoices also need room for project-specific items. A 2,500-word English-to-Spanish translation can show source words, per-word rate, and delivery terms. A direct-client project can show a deposit or milestone payment. A small proofreading task can show a minimum fee, such as one hour at the translator's hourly rate, when that was agreed before the work started.
Clients approve translator invoices faster when the invoice mirrors the quote. Include the client name, project or PO reference, invoice date, invoice number, service description, language pair, unit basis, quantity, rate, line total, payment terms, and payee details. Payment terms for translation work are normally negotiated before accepting the assignment and should appear in the purchase order, contract, and invoice.
United States private-sector invoices do not follow one federal invoice-format statute or a national VAT/GST invoice regime. Invoices still matter as supporting records because IRS Publication 583 lists invoices among documents that show gross receipts and business transactions. Sales and use tax treatment depends on state and local rules, nexus, service taxability, and the place of sale.
Word-based pricing is common because clients can review the total before work begins. The per-unit formula is direct: units multiplied by the per-unit rate. Translators using unit pricing should state whether the count is based on source text or target text, since source-text counts are often used and the two totals can differ after translation.
Pricing can also reflect language pair, service type, complexity, subject matter, deadline, and text volume.
