Use this page when you need a China-focused invoice layout for a sale of goods, services, intangible assets, or real estate. In mainland China, the compliant tax invoice is the official fapiao issued under PRC invoice administration rules, so a privately formatted bill alone does not replace the required tax invoice when a fapiao is needed.
A practical template should still help before the official document is issued. It organizes the buyer, seller, line items, VAT treatment, payment terms, and supporting project details in one place. For cross-border service work, agency billing, consulting, or software projects, that structure helps both sides agree on the charge before the seller issues the correct fapiao through the required channel.
PRC invoice rules identify basic invoice contents as including the invoice name, code and number, customer name, goods or business item, unit, quantity, unit price, amount in figures and words, issuer, issue date, and issuing unit or individual. A China invoice template should leave space for each of those fields instead of relying on a generic description and a total.
For enterprise purchasers requesting a VAT invoice, the buyer's taxpayer identification number or unified social credit code must appear on the invoice for it to serve as a valid tax voucher. Seller details, the issue date, item descriptions, quantities, and unit prices should match the contract, purchase order, delivery note, or accepted statement of work.
China's indirect tax regime is VAT. From January 1, 2026, China's VAT Law preserves the main VAT rates of 13% for standard taxable goods and specified services, 9% for listed goods and services, 6% for other services and intangibles, and 0% for exports and specified cross-border transactions. Use the rate that matches the taxable supply, not a rate copied from a previous customer.
A VAT special invoice requires an extra level of clarity because the seller must state the sales amount and output VAT amount separately. Payment timing belongs in the contract. China's Civil Code treats payment timing as a contract term, and for sales contracts with no agreed or determinable payment time, the buyer pays when receiving the subject matter or the document for taking delivery.
A one-off template is enough when you need to draft a simple billing request, collect buyer tax details, or align line items before the official fapiao process. The same template works for fixed-price contracts with few lines, one currency, and clear payment terms.
A managed workflow becomes necessary when billable work comes from tracked time, changing rates, multiple projects, or mixed billable and non-billable tasks. Everhour separates internal cost rates from client-facing billable rates, supports per-person defaults and per-project overrides, preserves dated rate changes, and prices work by project, member, or custom task rate before invoice preparation.

A normal invoice template can organize billing details, but mainland China uses official fapiao for compliant tax invoicing under PRC invoice administration rules. Use the template to prepare the commercial details, then issue the required fapiao through the correct process when the buyer needs a valid tax invoice or tax voucher.
An enterprise purchaser requesting a VAT invoice must provide its taxpayer identification number or unified social credit code. The invoice should also show the customer name and match the buyer's legal details. Missing or inconsistent buyer tax information can prevent the invoice from serving as a valid tax voucher.
A VAT special invoice must show the sales amount and output VAT amount separately. That split matters because the purchaser uses the document for VAT purposes. A template should keep taxable amount, VAT rate, VAT amount, and total amount distinct, especially when several goods or services use different VAT treatment.
Electronic invoices have the same legal effect as paper invoices under PRC invoice administration rules. The format still needs the required invoice identifiers, buyer and seller information, line items, amounts, issuer, and issue date. Electronic form changes delivery and storage, not the core invoice content.
China's accounting rules use renminbi as the bookkeeping base currency and require accounting records to be in Chinese. Limited concurrent-language or foreign-currency bookkeeping allowances exist, but RMB financial reporting still applies. A China-facing template should therefore support RMB amounts and Chinese invoice records when the document feeds local accounting.
Everhour separates internal cost rates from client-facing billable rates, with per-person defaults and per-project overrides. Dated rate changes preserve older calculations, and billable projects can be priced by project rate, member rate, or custom task rate before the invoice data is reviewed.
Everhour lets admins mark specific tasks as non-billable within a billable project, so excluded work stays out of billable totals. Reports can show billable time, non-billable time, billable amount, and cost by member or task for cleaner invoice review.
Track rates, billable work, and project exceptions before invoice drafting. Everhour keeps pricing history and billable totals organized for cleaner client billing.
