The finished document should show who sold the goods or services, who bought them, what was supplied, the price, the VAT treatment, the issue date, and the payment terms. For Chinese tax purposes, the compliant invoice is the official fapiao issued under PRC invoice administration rules.
A private invoice alone does not replace a fapiao when the buyer needs a valid tax voucher. Treat the downloaded file as a structured billing record, client approval document, or supporting note for the accounting workflow. Enterprise buyers requesting a VAT invoice need their taxpayer identification number or unified social credit code shown on the invoice.
PRC invoice rules identify core contents such as invoice name, code and number, customer name, goods or business item, unit, quantity, unit price, amount in figures and words, issuer, issue date, and issuing unit or individual. A practical invoice record should mirror those fields so the commercial document matches the fapiao request and reduces rework.
China's VAT system applies to taxable sales and imports. From January 1, 2026, the VAT Law keeps the main rates at 13% for standard taxable goods and specified services, 9% for listed goods and services, 6% for other services and intangibles, and 0% for exports and specified cross-border transactions. VAT special invoices show the sales amount and output VAT separately.
A useful China invoice download gives the buyer enough information to review the charge before payment or fapiao processing. Check the legal names, buyer tax identifier, item description, RMB amounts, VAT rate, VAT amount, total payable, issuer, and issue date. China's accounting rules use renminbi as the bookkeeping base currency and require accounting records to be in Chinese.
Electronic invoices have the same legal effect as paper invoices under PRC invoice administration rules, but the file still needs complete and truthful information. Invoices must be issued truthfully, within the prescribed time limit and sequence, with all required columns completed and all copies issued at one time. A missing buyer tax ID or vague service line can delay approval.
A one-off downloaded invoice works for a single project, a draft client charge, or a supporting record before the official fapiao is issued. It is enough when you already know the buyer details, VAT treatment, payment term, and final line items. China's Civil Code treats payment timing as a contract term, with payment due on receipt if timing is unclear for a sales contract.

A downloaded invoice record is not the same thing as an official fapiao unless it is issued through the required PRC invoice administration process. The fapiao is the compliant tax invoice for sales of goods, services, intangible assets, or real estate in mainland China. Use the downloaded invoice as a commercial record or support document unless the official fapiao has also been issued.
An enterprise purchaser requesting a VAT invoice must provide its taxpayer identification number or unified social credit code. The seller should show that identifier on the invoice so the document can serve as a valid tax voucher. Leaving it out creates a practical problem for the buyer, especially when the invoice supports VAT deduction or accounting records.
A VAT special invoice for an eligible purchaser must show the sales amount and output VAT amount separately. A practical invoice record should keep the taxable base, VAT rate, VAT amount, and total payable easy to audit. Mixing tax into one undivided total makes review harder and can create a mismatch with the official fapiao.
