The most useful invoice answers three client questions quickly: which language pair or deliverable was completed, which unit basis was used, and which payment terms apply. A line such as "English to Spanish legal translation, 2,400 source words × $0.18" is clearer than a broad "translation services" line because it shows the billing unit and rate.

Build clear translation line items

Translator pricing commonly uses word, hour, page, or project rates. Per-unit pricing follows a simple structure: units × rate. For word-based work, specify whether the units are source-text or target-text units. Source-text pricing is common because the client can confirm the volume before work starts, but the invoice should reflect the agreement already made.

Add separate lines when the job includes services with different rates or rules. Editing, proofreading, desktop publishing checks, terminology work, certified translation formatting, rush delivery, weekend work, and minimum fees can each change the total. Avoid vague billing details

Sales tax treatment in the United States depends on state and local rules, nexus, the place of sale, and whether the specific service is taxable. The United States does not use a national VAT or GST invoice regime. Add a state seller permit or sales-tax account detail only where your sales-tax obligations require it, and keep the invoice aligned with the client contract or purchase order.

Know when to use a system

A one-off invoice is enough for a small direct-client job, a single agency assignment, or a fixed project where the quote, word count, and payment term are already clear. It also works when you only need a PDF record that supports income and expense documentation. IRS Publication 583 treats invoices as supporting documents for business transactions, not as a prescribed federal private-sector invoice format.
