You came to finish an invoice, not design a document from scratch. Start with the seller name and address, buyer name and address, invoice number, issue date, due date, line items, payment terms, remit-to details, and total due. For hourly work, each line should connect the service, quantity, rate, and amount so the buyer can approve it without asking for the math behind it.

An invoice is a request for payment. It is different from a receipt, which proves payment received, and different from an estimate or quote, which gives a pre-work price. In the United States, ordinary private-sector invoices do not follow one prescribed federal form. For federal tax records, invoices act as supporting documents that help show income, expenses, and the source of gross receipts.

Keep the steps minimal

An easy app should ask for the few fields that change on every invoice and remember the fields that usually stay the same. Seller details, payment instructions, standard terms, and logo placement belong in saved settings. Client details, line items, due date, tax treatment, and notes belong in the invoice you are preparing now. That split keeps the workflow short without removing information the buyer needs.

A simple service invoice can be one line: "Website maintenance, 6 hours at $85 per hour." A product invoice often needs item descriptions, quantities, unit prices, and shipping or delivery details. The app should keep both paths straightforward. A rushed invoice that omits payment terms, invoice number, or buyer details saves one minute upfront and creates follow-up work after delivery.

Handle tax without shortcuts

The United States does not use a national VAT or GST invoice regime. Sales and use tax obligations come from state and local jurisdictions, and the right treatment depends on nexus, the product or service sold, and where the sale is sourced. A useful app leaves room for a tax line without pretending every invoice gets the same national rate.

Service taxability changes by state and service type. California generally taxes retail sales of tangible personal property and only some service or labor charges, while Texas defines 16 broad categories of taxable services. Remote sellers also need to watch state nexus thresholds. South Dakota's law, reviewed in South Dakota v. Wayfair, applied above $100,000 in sales or 200 transactions annually, while other states set their own rules.

A free invoice app is enough when you need a downloadable invoice for one client, one job, or a small batch of recurring work you already tracked elsewhere. It works well when amounts are final, tax treatment is known, payment terms are clear, and the invoice does not need to feed project reporting, profitability review, or future billing controls.
