Every report you need — configured your way, always up to date.
Tracked hours flow straight into a polished invoice — no copy-paste, no manual math.
An accurate invoice gives the buyer enough detail to verify the charge without asking for a second version. Include the seller and buyer names, billing addresses, invoice number, issue date, due date, line items, quantity, rate, subtotal, tax line, total, payment terms, and remit-to details. A missing number, vague description, or unclear due date slows approval even when the amount is right.
Keep the invoice separate from nearby documents. A quote or estimate gives a pre-work price expectation. An invoice requests payment after the work, sale, or billing milestone. A receipt confirms payment received. Mixing those documents creates accounting confusion because each one answers a different question for the buyer, seller, and bookkeeper.
Line items should show the charge at the level the buyer expects to review. A service invoice can list "Website updates, 12 hours at $85 per hour" with the extended price beside it. A product invoice can list quantity, unit price, discount, and shipping where those fields apply. The total should follow the math from the visible lines, not appear as a standalone charge.
Accurate numbering matters because invoices are supporting documents for business records. The IRS treats invoices as records that help show gross receipts and the sources of income, but ordinary private-sector businesses in the United States do not follow one federal invoice form. Use a consistent numbering pattern, preserve copies, and avoid reusing invoice numbers after edits or cancellations.
The United States does not use a national VAT or GST invoice regime, so an accurate invoice should not add a generic VAT field for a United States-only sale. State and local sales and use tax rules control the tax line. The correct treatment depends on nexus, the product or service sold, the customer's location, and the applicable state and local rate.
Sales-tax treatment changes by jurisdiction and service type. Washington has a 6.5% state sales-tax portion plus a local portion that varies by city or county and is collected based on where the customer receives the goods or services. California generally taxes retail sales of tangible personal property and only some service or labor charges, while Texas names 16 broad categories of taxable services.
A one-off generator is enough when you need a clean PDF for a single client, a small job, or a sale that already has known prices, tax treatment, and payment terms. It works best when you can enter every field once, review the tax line, download the file, and store the invoice with the matching contract or order record.
A managed workflow becomes necessary when invoices depend on tracked billable time, project rates, member rates, task rates, expenses, approvals, and repeat billing. Everhour separates cost and billable rates, supports per-person defaults and per-project overrides, preserves dated rate history, and prices billable work by project, member, or task before invoicing.

An accurate invoice includes seller and buyer details, invoice number, issue date, due date, line items, quantity, rate, subtotal, tax line, total, payment terms, and remit-to details. Add contract, purchase order, or project references when the buyer uses them for approval. The goal is a document the buyer can match to the work, price, and payment obligation.
A United States invoice does not need a national VAT or GST field because the United States does not use a national VAT or GST invoice regime. Sales and use tax is imposed and administered by states and local jurisdictions. Add a sales-tax line only when the sale, seller registration, nexus, and jurisdiction rules require it.
Use a consistent sequence and assign one invoice number to one invoice. Do not reuse a number after a correction, cancellation, or duplicate draft. A clean sequence helps bookkeeping, client approval, and later record review because the invoice can be matched to the sale, payment, contract, or project file without ambiguity.
Private businesses can set payment methods by policy or contract unless state law says otherwise. United States coins and currency are legal tender for debts, public charges, taxes, and dues, but the Federal Reserve states that no federal statute requires private businesses to accept cash for goods or services.
Federal contract invoices need the fields required by FAR 32.905, including contractor name and address, invoice date and number, contract or order references, descriptions, quantities, unit and extended prices, shipping and payment terms, remittance details, and defect-contact details. TIN or EFT banking data appears when agency procedures require it.
Everhour separates internal cost rates from client-facing billable rates, with per-person defaults and per-project overrides. Rate changes can be dated, so older work keeps its original calculation while current project, member, or custom task rates price new billable time correctly.
Everhour Billing & Invoicing lets users select uninvoiced billable time and expenses, preview the breakdown, and generate an invoice without rebuilding timesheets manually. Invoice lines can be grouped by project, task, person, date, or another available breakdown, so the client sees the structure they expect.
Connect billable time, rates, expenses, and invoice status in Everhour so repeat billing uses the right project data and preserves accurate invoice records.
