Turn Basecamp to-dos into client-facing billable hours by tying each time entry to the right project, list, and to-do. The practical job is to separate the work the client pays for from the work the team still needs to see internally. A good record shows the task, person, date, time spent, and notes that explain the billed activity.
Basecamp to-dos carry the work context: title, notes, assignee, subtasks, due date or date range, recurring schedule, and completion status. Everhour adds the billing layer around that context. Its Basecamp integration syncs projects, lists, to-dos, task IDs, and task status into reports, so billing review follows the same structure the team already uses to manage the work.
Billable totals depend on the rate model selected before the invoice review starts. Everhour supports billable Basecamp projects priced by hourly project rate, hourly member rate, or fixed fee. For time-and-materials work, admins can use custom task rates when one type of to-do needs a different client-facing price from the rest of the project.
Non-billable work needs an explicit place in the record. Everhour sets billing status at the project level, and a specific task inside a billable project can be marked non-billable so its time stays out of billable totals. Reports should show billable time, non-billable time, billable amount, and cost by member or task, with money-related details limited to admins when financial access should stay restricted.
A one-off tally is enough when you need a quick view of Basecamp to-do hours for a small project, a single client question, or a draft invoice check. It stops being enough when multiple people log time, rates differ by role or task, non-billable work must stay visible, or approved hours need to move into billing without rebuilding the record by hand.

Internal coordination, setup, rework, and admin time need a separate decision before billing. Keeping excluded time visible helps explain total project effort without pushing every logged hour onto the invoice.
Billing backup should identify the Basecamp project, list, to-do name, task ID, task status, person, date, time spent, and a clear work note. That detail lets the client connect the charge to visible project work and lets the team audit rate, billable status, and invoice inclusion before sending the invoice.
Task-level rate changes create risk when the rate is agreed for one category of work but applied to a broader set of to-dos. Review tasks with custom pricing before invoice generation, especially when similar work appears under different lists. The hour total can look right while the billed amount is wrong.
Excluded Basecamp to-do time should stay visible when it explains project effort, margin, or staffing. Removing it hides the work required to serve the client. Keep it out of billable totals, but preserve it in internal review with separate columns for billable time, non-billable time, billable amount, and cost.
