A Basecamp to-do time report is for explaining where time went at the task level. The strongest version starts with the question. A project view answers, "Which client work took the most time?" A to-do view answers, "Which exact item created the cost?" Combining all four gives you a report that supports billing, staffing, and project review without forcing a reader to interpret raw time entries.
Group the report by Basecamp project when the audience wants a client or initiative summary. Group it by to-do when the audience needs task-level evidence. Add the list or section name when multiple parts of a project use similar to-do titles. Include task status so completed and open work do not sit together without context.
Use member, date, and billable status as supporting fields. Member names show who performed the work. Dates show the timing of delivery. Billable and non-billable time in the same view prevents a common mistake: hiding internal work until project cost looks lower than it was. Cost and billable amount belong in manager-facing versions; client-facing exports should include only the money fields the client is meant to see.
A clean report depends on clear to-dos before anyone logs time. Each to-do needs a specific title, enough notes to identify the work, an assignee when ownership matters, and a due date or date range when timing matters. Subtasks help split delivery steps, but the report still needs the parent to-do to remain understandable on its own.
Avoid using one broad to-do for a whole phase unless the report only needs phase-level totals. "Homepage revisions" creates a vague time record. "Revise homepage pricing section" gives the reviewer a traceable unit of work. If two people work on the same to-do, keep both entries attached to that to-do and let the report break the total down by member.
A one-off export is enough when you need a quick status update, a narrow date range, or a simple backup for a meeting. It works best when the report has a small audience and no one needs the same breakdown every week. Export the filtered view, keep the date range visible, and avoid editing totals manually after export.
