Track your budget through time or costs
Every report you need — configured your way, always up to date.
Tracked hours flow straight into a polished invoice — no copy-paste, no manual math.
A Basecamp PM time report should answer a concrete management question: where time went, which work consumed the budget, who contributed, and which hours support a client update. Basecamp projects, lists, to-dos, assignees, and due dates give the work its structure. Time and cost reporting adds the operational layer that shows what happened after the work started.
The useful report starts with the audience. A project lead needs project and to-do detail. A client needs billable work, date range, and clean descriptions. An owner needs cost, revenue, and margin by project or client. A finance reviewer needs exported rows that tie time back to the exact Basecamp project, list, to-do, member, and status.
Project-level grouping shows where total effort landed across active work. To-do grouping shows which deliverables absorbed the most time. Member grouping explains who did the work. Date-range grouping supports weekly and monthly reviews. Client grouping connects delivery activity to billing, budget, and profitability review when client records and rates sit behind the report.
Billable and non-billable time belong in the same review when the report supports cost control. Hiding internal time makes profitability look cleaner than the work reality. A good report separates billable time, non-billable time, billable amount, and cost so the reader can see client charges and internal effort without mixing the two totals.
A defensible Basecamp time report uses the same naming and work structure the team already follows. Everhour's Basecamp report fields include project, to-do, list, task ID, and task status, so the report can tie hours back to the documented work item. The synced model centers on Basecamp projects, lists, and to-dos, not Card Table cards, Schedule events, or Message Board posts as synced task objects.
The common mistake is rebuilding a report from memory after the review period ends. Notes without task context create vague rows, and unreviewed manual entries create disputes over timing. Set a weekly or monthly cadence, filter the report to the period, check unusual totals, confirm billable status, and export the final view for people who need the data outside the reporting tool.
A one-off spreadsheet works when you need a small snapshot: one project, one short date range, and a few rows for internal review. It stops working when the same report must be recreated every week, when time needs approval before reporting or billing, or when cost, billable status, budgets, and invoice handoffs must stay consistent.
Everhour Timesheets lets managers approve, reject, or partially approve submitted time before reports or billing use it. For cost-heavy work, Everhour Expenses tracks project expenses with receipts, unit-based categories, budget inclusion controls, invoice integration, and expense reports, so time and reimbursable project costs stay visible in the same review process.

Use the date range that matches the decision. A weekly report works for delivery review and missing-time cleanup. A monthly report works for client updates, budget review, and finance handoff. Lock the date range before exporting so late edits do not change the numbers after the report has been shared.
Show non-billable work beside billable work with separate columns or filters. Internal planning, rework, and admin time can explain why project cost rose without increasing the client charge. Removing those rows hides effort from the cost picture and makes the report weaker for staffing and margin review.
Use Basecamp projects, lists, and to-dos for report-level detail. Everhour's Basecamp report fields include project, to-do, list, task ID, and task status. Keep entries tied to supported to-dos when you need traceable rows for client review, budget analysis, or later export.
Keep completed to-dos in the report when their time falls inside the review period. Completion status helps explain why work is finished, blocked, or still active, but it should not remove historical effort from the total. Filter by date first, then use status to interpret the rows.
A useful export includes the date range, project, to-do, list, member, billable status, hours, cost fields, and the grouping used for the review. CSV fits spreadsheet analysis, Excel/XLSX fits editable finance work, and PDF fits a fixed stakeholder summary. Export after filters and columns are finalized.
Everhour Expenses tracks project costs with receipt images or PDFs, unit-based expense categories, budget inclusion controls, and expense reports by project, client, member, category, date range, and billable status. Those records help reviewers compare reimbursable expenses with tracked time and project profitability.
Everhour Reporting lets admins build reports with columns, grouping, filters, date ranges, and formatting, then download saved reports as CSV, Excel/XLSX, or PDF. Report exports give finance reviewers, clients, and managers a usable file without asking them to work inside the reporting dashboard.
Track Basecamp time, review project expenses, and export report views for billing, budget, and stakeholder updates. Everhour keeps project cost review tied to the work record.
