A billable-hours workflow starts with the work already organized in Basecamp: projects, to-do lists, to-dos, assignees, due dates, and completion status. The billing record needs a tighter view than a task list alone. Each time entry should connect the person, date, Basecamp project, to-do, list, hours worked, and a short note when the entry needs client context.
Client billing also needs a visible split between work that earns revenue and work that supports the account. Discovery, production, review, and implementation may be billable under the agreement. Internal status meetings, admin cleanup, or rework outside scope may stay non-billable. Keep both categories visible, because non-billable time explains margin, staffing pressure, and why a project consumed more effort than the invoice shows.
Rate setup decides whether billable hours turn into the right dollar amount. A Basecamp project connected to Everhour can be configured as billable, fixed fee, or non-billable. Time-and-materials work can use an hourly project rate or hourly member rates, and custom task rates cover cases where a specific type of work bills differently from the rest of the project.
Task-level controls matter when one Basecamp project contains mixed work. A billable project can still include to-dos marked non-billable, so their hours remain in reports without increasing the client charge. For member-rate projects, a specific employee's project rate can be set to 0 when that person's work should not be billed. Set these rules before review, because late cleanup turns billing into guesswork.
A defensible client-facing record shows more than a total. It shows who did the work, which Basecamp to-do it supported, the list or section it belonged to, the task status, the date, the hours, and any comment that explains the charge. The common mistake is hiding non-billable work before invoice review. A clean invoice may exclude that time, but the project owner still needs to see it. Compare billable time, non-billable time, billable amount, and cost by member or task before sending anything to accounting. This catches entries on the wrong to-do, work logged after a scope change, and tasks that need a custom rate.
A one-off tally works when a small project has a few entries, one rate, and no approval step. It stops working when multiple people log time, some Basecamp to-dos are non-billable, task rates differ, or the client expects a line-item breakdown. At that point, the billing record needs locked periods, approval checks, reporting, and protection against invoicing the same hours twice.

Set billing status at the project level first, then handle exceptions at the task level. A project can be billable, fixed fee, or non-billable in Everhour. Within a billable project, mark specific Basecamp to-dos as non-billable when their time should stay in reports without increasing the client invoice.
Use a project rate when the client pays one hourly price for the whole project. Use member rates when different people bill at different prices. Use a custom task rate when a specific type of work on a time-and-materials project has its own billing price.
Include the client or project, Basecamp to-do, list or section, person, date, hours, billing status, rate, billable amount, and any useful note. The report should separate billable and non-billable time so the invoice total stays clear while the project owner still sees all labor behind the account.
Reusing already invoiced time creates duplicate charges. After time is included in an Everhour invoice, it is marked invoiced so it does not appear again as uninvoiced work. Review the invoice status before creating the next bill, especially when projects run across several billing periods.
Keep non-billable hours in reports because they explain project profitability and account health. Excluding them from the invoice is different from deleting them from review. Non-billable time shows internal support, revisions outside billing scope, and work that reduces margin even when the client charge stays unchanged.
