Use this page to organize Basecamp project work into billable hours that a client can review without guesswork. The useful output is a time record tied to project names, to-do names, people, dates, notes, billable status, and billing rates. The record should also keep non-billable work visible, because internal revisions, admin work, and client courtesy time still affect project profitability.
A defensible billable record answers three questions before invoicing: which Basecamp to-do received the time, whether that work belongs on the client invoice, and which rate prices the work. Clean notes matter most when multiple people touch the same to-do. A line such as "Drafted homepage wireframe review notes" is easier to approve than "design work," especially when the client asks for detail later.
Billable status should follow the commercial agreement, not the team member's preference at entry time. In Everhour, billing status is configured at the project level, using an hourly project rate, hourly member rate, or fixed fee. Specific to-dos inside a billable project can still be marked non-billable, so excluded work stays in reports without inflating the amount owed.
Rates need the same discipline. A project rate works when every hour carries the same price. Member rates fit contracts that bill senior, mid-level, and junior work differently. Task-level rate overrides fit time-and-materials projects where a specific Basecamp to-do needs a different price. Setting a member's project rate to 0 makes that person's time non-billable on member-rate projects.
A client-facing billing report needs more than total hours. It should show the Basecamp project, to-do, list, task status, person, date range, notes, billable time, non-billable time, billable amount, and cost when an admin needs margin review. Everhour's Basecamp reports can use project, to-do, list, task ID, and task status fields, which keeps the billing review tied to the work structure.
The common mistake is hiding non-billable time before the invoice review. Removing it makes the bill look cleaner, but it also removes the explanation for budget pressure and margin loss. Keep non-billable hours in the internal report, exclude them from the invoice amount, and review any to-do with high internal time before sending the client a final number.
A one-off tally is enough when one person logs a small batch of hours and sends a simple invoice once. The workflow breaks down when several people work across Basecamp projects, rates vary, non-billable to-dos need review, or a manager must approve time before billing. Manual spreadsheets also invite duplicate invoicing when old hours reappear in the next billing cycle.
Everhour handles that handoff by adding tracking controls through the browser extension, syncing Basecamp projects and to-dos into reports, and using approvals before billing. Approved billable time and expenses can become an invoice, non-billable work stays excluded from the amount due, and invoiced time is marked so it does not appear again in a later invoice.

Assign billable status from the project's billing setup first, then handle exceptions at the to-do level. In Everhour, a Basecamp project can be hourly, fixed fee, or non-billable. A specific to-do inside a billable project can be marked non-billable when the work should remain visible for reporting but stay off the client invoice.
Use a project rate when every hour on the project has the same client price. Use member rates when the contract prices people differently. Use a custom task rate when one time-and-materials to-do carries a special price. Keep dated rate changes aligned with the period worked so older reports keep the correct calculation.
A client-facing record should include the project, to-do, person, work date, hours, clear notes, billable status, and amount. Internal review should also keep non-billable time and cost visible. That split gives the client a clean invoice while giving the project owner enough detail to explain write-offs, margin changes, and billing exclusions.
Non-billable time explains effort that affected the project but should not increase the invoice. Internal fixes, account management, rework outside the billing agreement, and courtesy time can change margin even when the client does not pay for them. Keeping those hours visible helps owners compare project effort against the amount billed.
Approved billable hours should move into an invoice only after the manager reviews the date range, notes, billable status, rates, and exclusions. Everhour can generate invoices from uninvoiced time and expenses, calculate amounts from billable time and rates, and mark included time as invoiced so the same hours are not reused.
Everhour embeds tracking controls in Basecamp through its browser extension and syncs Basecamp projects, lists, and to-dos into Everhour reports. That keeps timers, time entries, and billing review tied to the same project structure your team already uses for client work.
Everhour can export invoices to QuickBooks Online, Xero, or FreshBooks as drafts after billable time and expenses are selected. Invoice status, number, issue date, and amount sync back to Everhour, so billing reports stay connected after accounting review.
Track approved Basecamp work, price billable hours by the right rate, and keep invoice status connected in Everhour for cleaner client billing.
