A Xero invoice is contact-based, so the client match matters before the first line item. Xero invoice records include contact, line items, issue date, due date, invoice number, reference, currency code, status, subtotal, tax, total, amount due, and amount paid. For U.S. billing, rate and invoice fields normally use USD unless your Xero file and client agreement use another currency.

Xero invoice statuses include DRAFT, SUBMITTED, DELETED, AUTHORISED, PAID, and VOIDED, so status review should distinguish work approved for billing from invoices approved inside Xero.
A one-off time tracking tool is enough when you need a small invoice, a short client project, or a clean export for manual entry. It works best when one person controls the client, rate, invoice description, and final Xero review. The highest-risk fields are contact, line item description, quantity, unit amount, account code, tax type, and currency code. Quantity usually comes from approved billable hours, while unit amount comes from the agreed billing rate. A wrong client or account code can send accurate work to the wrong invoice or reporting category.
Xero draft invoices do not replace payroll time records. For employees covered by the FLSA minimum wage or overtime provisions, employer records must include hours worked each workday and total hours worked each workweek. Invoice lines show billable amounts for a customer. Payroll review needs worker-level time records, including non-billable hours when those hours are work time.
The federal baseline is weekly. Unless exempt, covered employees must receive overtime pay for hours worked over 40 in a fixed 168-hour workweek, at not less than 1.5 times the regular rate. The FLSA does not require overtime premium pay solely for Saturday, Sunday, holiday, or regular rest-day work unless weekly overtime or another law or agreement applies.
