This page is for creating invoices that can move into Xero without rebuilding the same details twice. The practical job is to gather the client, invoice number, issue date, due date, currency, line items, tax treatment, and payment terms before the accounting handoff. Xero then holds the accounting record, including invoice status, payment amounts, due balances, and reconciliation data.
For ordinary United States private-sector businesses, there is no prescribed federal invoice form or national VAT/GST invoice regime. Invoices act as supporting documents for income and expense records. Sales and use tax depends on state and local rules, nexus, product or service taxability, and where the sale occurs. Federal contracts are the clearest national exception, because FAR rules define proper invoice fields and generally use a 30-day payment timing standard.
Xero sales invoices use the accounts-receivable invoice type ACCREC. The header record includes the contact, issue date, due date, invoice number, reference, currency code, currency rate, line amount type, and status. Status values include DRAFT, SUBMITTED, AUTHORISED, PAID, VOIDED, and DELETED. A clean invoice app should prepare those fields before the invoice reaches Xero as a draft.
Line items need the same care. Xero line items support a description, quantity, unit amount, item code, account code or account ID, tax type and tax amount, line amount, tracking categories, and discounts. Xero defines line amount as quantity multiplied by unit amount, adjusted for any discount. The invoice total equals subtotal plus total tax, while amount due and amount paid come from payment activity in Xero.
Xero is the accounting system, so the invoice app should feed it complete sales data and stop at the right boundary. The app assembles the invoice from work, expenses, terms, and tax details. Xero records the accounts-receivable invoice, payment status, payment account, payment date, payment amount, optional reference, and reconciliation flag. Payment amounts cannot exceed the invoice's outstanding balance.
A common mistake is treating Xero sync as a substitute for invoice review. Draft status matters because the accountant or owner still needs to check account codes, tax types, discounts, due dates, and client details before approval or sending. This is especially important for United States sales tax, because there is no single national rate. State and local obligations change by jurisdiction and by what you sell.
