Use the finished record for two practical jobs: billing the right client or project and reviewing daily and weekly hours before payroll. For U.S. employers, the FLSA requires covered employers to keep accurate records for nonexempt workers, but it does not require a specific timekeeping form. The record has to be complete enough to support the pay, invoice, or audit trail that follows.

Fields every entry needs

Start with the facts that identify the work: person, date, project, task, client, start time, stop time, total time, and billable status. Add a short work description when another person will review the record. For employees covered by the FLSA minimum wage or overtime provisions, employer records must show hours worked each workday and total hours worked each workweek.

Keep invoice and payroll fields separate even when the same entry feeds both. A billable line needs client, project, description, hours, rate, and currency, normally U.S. dollars for U.S. users. Payroll review needs the person's daily totals and the fixed workweek total. A sample billable line can read: March 5, 2026, client onboarding, API review, 2.25 hours, billable, $95 per hour.

Browser habits that break records

Browser work creates small gaps: a timer left running after a tab switch, a manual entry added on top of a timed entry, or a vague note such as "admin."
