Your first job is to send a document the customer can understand, approve, and match to the agreed work. For a basic accounting record, include the document title, date, issuer, transaction content and volume, responsible persons, and a signature or other identifier. Those fields matter because Ukrainian accounting records are based on primary documents, which may be paper or electronic.
A client also needs enough commercial detail to pay without back-and-forth. Show the buyer and seller, invoice number, issue date, service or goods description, quantity or period, price, total due, payment details, and due date. Ukrainian monetary obligations are generally payable in hryvnias, so use UAH unless the contract and applicable rules support another treatment.
For VAT, Ukraine uses a regulated tax invoice that is different from an ordinary invoice or primary document. A Ukrainian VAT tax invoice is prepared by a registered VAT payer with an individual VAT payer tax number. VAT registration is compulsory when taxable transactions exceed UAH 1,000,000 during the past 12 consecutive months, with voluntary registration available before that threshold.
The VAT tax invoice has strict technical fields. Line items record the goods or services description, UKT ZED goods code or DKPP service code, unit, quantity, net unit price, VAT-rate code, tax base, and VAT amount. Ukraine's VAT rates include 20%, 14%, 7%, and 0%, with the lower and zero rates limited to specified supplies.
A standard invoice can support payment, but a VAT tax invoice follows a formal electronic process. VAT tax invoices and annexes must be prepared electronically with an authorized person's qualified or qualifying advanced e-signature, then registered in the Unified Register of Tax Invoices. That registration step belongs to VAT compliance, not merely client presentation.
The VAT tax invoice is completed in Ukrainian, and monetary fields are completed in hryvnias with kopiykas unless the tax-invoice procedure provides otherwise. Its sequential number contains only numeric values, cannot be duplicated for the same date, and cannot begin with zero. Those details prevent rejected records and mismatches between the invoice, tax records, and accounting file.
