An email invoice for Ukraine should give the client a clear payment request and enough transaction detail for accounting records. Ukrainian primary documents support accounting records and may be paper or electronic. They include the document name, compilation date, issuer name, transaction content and measurement unit, responsible persons' positions and surnames, plus a signature or other identifier of the participant.
Keep the emailed invoice easy to review before the buyer opens an attachment. Put the invoice number, issue date, seller, buyer, amount due, currency, payment terms, and short work description in the message body. Attach the invoice as a stable file, usually PDF, so the buyer can forward it to accounting without losing line items or payment instructions.
Ukraine distinguishes a business invoice or primary document from a VAT tax invoice. A VAT tax invoice is prepared by a registered VAT payer with an individual VAT payer tax number. It must be electronic, signed by an authorized person with a qualified or qualifying advanced e-signature, and registered in the Unified Register of Tax Invoices.
VAT tax invoices also have stricter format details. They are completed in Ukrainian, monetary fields use hryvnias with kopiykas unless the procedure provides otherwise, and the sequential tax invoice number uses only numbers, cannot repeat on the same date, and cannot begin with zero. The client-facing invoice should not pretend to replace that regulated VAT document.
Each invoice line should connect the billed work to a service, quantity, unit price, and tax treatment. For a Ukrainian VAT tax invoice, line items record the goods or services description, UKT ZED goods code or DKPP service code, unit of measurement, quantity or volume, unit price excluding VAT, VAT-rate code, taxable supply amount excluding VAT, and VAT amount.
Ukraine's VAT rates include 20%, 14%, 7%, and 0%. Use the rate that applies to the transaction, and keep the summary consistent with the line section. The VAT tax invoice summary includes total payable including VAT, VAT amounts calculated from supply volumes, and total supply volumes by VAT-rate code.
A one-off email invoice works for a small job, a single client, or a corrected payment request. It is enough when you already know the billable work, tax treatment, due date, and payment details. Ukrainian monetary obligations follow the contractually fixed due date, and if no due date is set or payment is due on demand, the debtor must perform within seven days after the creditor's demand unless the contract or law requires immediate performance.

State the contract due date clearly, including the exact date or the agreed number of days after invoice receipt. If the contract does not set a due date or payment is due on demand, Ukrainian Civil Code rules require performance within seven days after the creditor's demand unless immediate performance follows from the contract or law.
