A printed invoice for Ukraine should give the buyer a clear payment record: who issued it, who owes payment, what was supplied, the price, the currency, the VAT treatment when relevant, and the due date. Use hryvnias for local monetary obligations unless the contract lawfully sets another arrangement, and keep kopiykas visible when amounts are not whole hryvnias.
Ukraine also distinguishes ordinary accounting source documents from VAT tax invoices. Ukrainian accounting records rely on primary documents that may be paper or electronic and include the document title, date, issuer, transaction content and volume, responsible persons, and a signature or other identifier. A printed client invoice can support billing, but a regulated VAT tax invoice has separate electronic requirements.
A useful Ukraine invoice starts with the seller and buyer names, addresses or registration details, invoice number, issue date, payment due date, currency, line descriptions, quantities, unit prices, taxes, discounts, subtotal, total due, and payment instructions. The printed version should match the PDF or accounting record, especially invoice number, totals, and due date.
For VAT payers, the VAT line needs extra care. Ukraine's VAT regime uses 20%, 14%, 7%, and 0% rates, depending on the transaction category. A VAT tax invoice records description, code, unit, quantity, net unit price, VAT-rate code, tax base, VAT amount, and supply totals by rate code. Do not replace those regulated fields with a generic printed total.
A Ukrainian VAT tax invoice is prepared by a registered VAT payer with an individual VAT payer tax number. VAT registration is compulsory when taxable transactions exceed UAH 1,000,000 during the past 12 consecutive months, with voluntary registration available before that threshold. If the seller is not a VAT payer, the printed invoice should not pretend to be a VAT tax invoice.
The regulated VAT tax invoice is electronic. VAT tax invoices and annexes must be prepared electronically with an authorized person's qualified or qualifying advanced e-signature and registered in the Unified Register of Tax Invoices. Printing a copy can help a client review the charge, but the printout does not replace the electronic VAT invoice workflow.
A one-off printed invoice is enough when you need a simple client-facing record for a completed job, a clear payment request, or a paper copy for internal files. It works when the amounts are final, the tax treatment is already known, and no one needs to rebuild the invoice from time logs later.

Printing an invoice does not create a regulated Ukraine VAT tax invoice. A VAT tax invoice is prepared electronically by a registered VAT payer, signed with an authorized person's qualified or qualifying advanced e-signature, and registered in the Unified Register of Tax Invoices. The printed copy is a business record, not the registration step.
Use hryvnias for Ukraine monetary obligations unless the contract and applicable law support another arrangement. VAT tax invoice monetary fields are completed in hryvnias with kopiykas unless the tax-invoice procedure provides otherwise. A foreign-currency commercial reference should still leave the payable amount and tax record clear.
Ukraine uses a 20% standard VAT rate, a 14% rate for certain agricultural products, a 7% reduced rate for specified medicines, medical goods and selected services, and a 0% rate for exports of goods and certain international-transport and related transactions. Apply the rate that matches the specific supply.
A VAT tax invoice sequential number must contain only numeric values, cannot be duplicated for the same date, and cannot begin with zero. Use a numbering process that prevents same-day duplicates before printing client copies, because a neat paper invoice does not fix an invalid VAT tax invoice number.
Use the payment date set in the contract. If the contract sets no due date or payment is due on demand, Ukrainian Civil Code rules require performance within seven days after the creditor's demand unless immediate performance follows from the contract or law. Put the exact due date on the printed invoice.
