Working time records for Ukrainian teams

Create a usable work log

Use this page to organize a working-time record for employees, contractors, projects, or client work in Ukraine. The goal is a clean log that shows who worked, on which date, for which project, and under which time category. A usable record supports payroll review, billing, overtime checks, and management reporting without turning every entry into a legal memo.

Ukraine's domestic defaults also shape the setup. Ukrainian is the state language, and the hryvnia is the currency unit, so local payroll and client records usually need Ukrainian labels and UAH values. If a foreign parent company uses another language or currency, keep the local work log clear enough for Ukrainian payroll review and employee questions.

Capture the right daily fields

Start with one entry per person, date, and work period. Add start time, finish time, break time, total hours actually worked, project or client, and approval status. Form P-5, approved by State Statistics Committee Order No. 489, separates regular hours, part-time hours, night hours, overtime, and weekend or holiday work, so those categories belong in the record from the start.

Daily categories prevent the common mistake of hiding premium hours inside one weekly total. The Labour Code defines night time as 10 p.m. to 6 a.m., and night work is generally paid at an increased rate of at least 20% of base salary for each night hour. Employee time entries can be personal data under Law No. 2297-VI, so collect only specific, legitimate, transparent, adequate, and non-excessive data under a valid legal ground.

Review Ukrainian rule triggers

Ukraine's Labour Code sets the normal working-hours standard at no more than 40 hours per week, with lower standards possible by collective agreement. During martial law, normal working time may be increased to 60 hours per week for employees at critical infrastructure facilities; employees with legally reduced working time at such facilities may not exceed 40 hours per week. Use the weekly total as a checkpoint before overtime review.

The Labour Code requires the employer or authorized body to keep records of each employee's overtime work. Overtime work may not exceed four hours for each employee over two consecutive days or 120 hours per year. For hourly-paid employees, overtime is paid at double the hourly rate; for piece-rate employees, the surcharge is 100% of the relevant hourly base salary, and compensatory time off is not allowed.

Choose a workflow level

A one-off weekly log is enough for a small job when one person records hours, no overtime is claimed, and the record only supports a single invoice or internal check. Continuous tracking becomes necessary once several employees, remote schedules, night hours, overtime limits, client budgets, or payroll handoffs enter the process. The record then needs approvals, edit history, and consistent categories.

Remote employees in Ukraine may split working time at their own discretion unless the contract says otherwise, but total working hours may not exceed the Labour Code's normal or reduced standards under Articles 50 and 51. Does Ukraine require a specific digital time tracking system?

Ukraine does not have an EU-style CJEU working-time-recording rule. The practical recordkeeping duty comes from Ukraine's Labour Code and official labor-statistics forms, including Form P-5 under State Statistics Committee Order No. 489. Employers still need per-employee overtime records, and many teams use daily digital entries to make those records reviewable.

Which time categories should Ukrainian teams separate?

Separate regular hours, part-time hours, night hours, overtime, and weekend or holiday work because Form P-5 uses those categories for recording working time. Add project or cost center fields when the same record supports client billing. Keep night hours distinct from ordinary evening work because the Labour Code's night window runs from 10 p.m. to 6 a.m.
