Creating a Ukraine invoice you can send

Prepare a sendable client invoice

A downloaded invoice for Ukraine should give the buyer enough detail to identify the seller, buyer, work performed, invoice date, amount due, payment terms, and supporting line items. Ukrainian accounting records rely on primary documents, which can be paper or electronic and must show the document title, date, issuer, transaction content and volume, responsible persons, and a signature or other identifier.

Use hryvnias for local monetary obligations unless the contract supports another arrangement. A simple service invoice can list one line for the completed work, the quantity, unit price, subtotal, VAT treatment if relevant, total payable, and due date. If the contract sets a payment date, use that date. If no date is set and payment is due on demand, Ukraine's Civil Code uses seven days after the creditor's demand unless the contract or law requires immediate performance.

Separate invoices from VAT tax invoices

A regular commercial invoice and a Ukrainian VAT tax invoice are not the same document. A VAT tax invoice is prepared by a registered VAT payer with an individual VAT payer tax number. It is a regulated electronic document, prepared with an authorized person's qualified or qualifying advanced e-signature and registered in the Unified Register of Tax Invoices.

VAT tax invoices use the Ukrainian language and show monetary fields in hryvnias with kopiykas unless the procedure provides otherwise. Their line-item section includes the goods or services description, UKT ZED goods code or DKPP service code, unit, quantity, net unit price, VAT-rate code, taxable supply amount excluding VAT, and VAT amount. The summary includes total payable including VAT, VAT amounts, and supply totals by rate code.

Handle VAT details carefully

Ukraine's VAT rates are 20%, 14%, 7%, and 0%. The standard 20% rate applies unless a listed reduced or zero-rated category applies. The 14% rate covers certain agricultural products, the 7% rate applies to specified medicines, medical goods, and selected services, and the 0% rate applies to exports of goods and certain international-transport and related transactions.

Compulsory VAT registration generally starts when taxable transactions exceed UAH 1,000,000 during the past 12 consecutive months, with voluntary registration available before that point. If you are not a registered VAT payer, do not present the invoice as a Ukrainian VAT tax invoice. If you are registered, use the correct VAT-rate code and keep numbering clean, since VAT tax invoice numbers contain only numeric values, cannot duplicate another number for the same date, and cannot begin with zero.
