Working hours, breaks, and totals

What this calculation answers

A time card calculation turns start times, end times, and unpaid breaks into paid working hours for each day and the full week. In Ukraine, that matters because the Labor Code sets normal working hours at no more than 40 hours per week unless a collective agreement sets a lower standard.

The calculation also helps separate time present from time worked. Ukrainian time entries should use the 24-hour clock, such as 09:00 to 18:00, and local date formatting such as 07.06.2026. That format reduces AM and PM errors when payroll, HR, and managers review the same record.

Apply breaks before totaling

Ukraine gives employees a rest-and-meal break lasting no more than two hours, and the standard break is excluded from working hours. As a rule, the break is provided four hours after the start of work, with exact start and end times set by internal labor rules.

For example, a Kyiv office employee records 09:00 to 18:00 from Monday through Thursday with a 1-hour unpaid meal break each day, then 09:00 to 16:00 Friday with a 1-hour unpaid break. The paid totals are 8, 8, 8, 8, and 6 hours, or 38 hours for the week. At ₴190 per hour, straight-time gross pay is ₴7,220.

Check Ukraine-specific limits

The weekly total should be checked against the worker category and current legal setting. Ukraine's standard baseline is 40 hours per week, but employees aged 16 to 18 have a reduced maximum of 36 hours per week. Persons aged 15 to 16 and students aged 14 to 15 working during vacations have a 24-hour weekly limit.

Rest checks matter alongside hour totals. The normal uninterrupted weekly rest period must be at least 42 hours, while a five-day workweek carries two weekend days and a six-day workweek carries one. During martial law, normal working hours may be increased to 60 hours per week for employees at critical infrastructure facilities, and weekly rest may be reduced to 24 hours.

Use a workflow for recurring review

A one-off calculation is enough when you need to check one employee's week, verify an unpaid break, or explain a payroll line item. A managed workflow becomes necessary when several people submit time cards, managers approve corrections, and payroll needs a consistent export instead of screenshots or rewritten spreadsheet rows.

Everhour Reporting gives teams configurable reports with 45+ columns, grouping, filters, and CSV, Excel/XLSX, or PDF exports. Keep the Ukraine working-time rules separate from the software setup, then use reporting to review approved time card totals by person, date range, project, or payroll period.

Frequently Asked Questions

Which Ukraine time card entries count as working hours?

Working hours include time actually worked during the shift. Ukraine's standard rest-and-meal break is excluded from working hours, unless production conditions prevent a separate break and the employee must be allowed to eat during working hours. Record the break separately so the paid daily total does not include unpaid meal time.

Does a Ukraine meal break always reduce the paid total?

A standard rest-and-meal break reduces the paid total because it is not included in working hours. The break can last no more than two hours and is usually provided four hours after work starts. Jobs that prevent a separate break need a different record because meal time occurs during working hours.

Which weekly hour limit should a Ukraine time card flag?

Use 40 hours per week as the normal Labor Code baseline unless a collective agreement sets a lower standard. Use 36 hours for employees aged 16 to 18, and 24 hours for persons aged 15 to 16 and vacation-working students aged 14 to 15. During martial law, critical-infrastructure rules can change the weekly cap.

Why should Ukraine time cards use 24-hour time?

Ukraine locale data uses 24-hour time patterns such as HH:mm, so entries like 09:00, 13:00, and 18:00 match local practice. The format prevents AM and PM confusion, especially when a payroll reviewer checks shift length, unpaid breaks, and the weekly total from the same time card.

What rest period should a Ukraine time card review include?

The normal uninterrupted weekly rest period must be at least 42 hours. During martial law, that weekly rest period may be reduced to 24 hours. Between shifts, the break must be at least double the duration of the previous shift, including the lunch break, and two consecutive shifts are prohibited.

How does Everhour Reporting support Ukraine time card review?

Everhour Reporting turns approved time into customizable reports with 45+ columns, filters, grouping, and date ranges. Managers can review time card totals by person or period, then export reports in CSV, Excel/XLSX, or PDF for payroll checks and internal records.

How can Everhour keep submitted time cards from changing later?

Everhour Timesheets let managers approve, reject, or partially approve submitted time. Submitted time is locked unless withdrawn or rejected, and approved time stays locked for regular members, which protects reviewed time card totals before payroll or billing use.
