Use this page to prepare an invoice for work, goods, or services connected to a Ukraine client or supplier. The practical goal is a clear payable document with the seller, buyer, invoice date, line items, currency, VAT treatment, payment terms, and total amount stated in a format the recipient can process.
Ukraine also distinguishes ordinary primary documents from VAT tax invoices. Primary documents support accounting records and must include the document name, compilation date, issuer name, transaction content and measurement unit, responsible persons' positions and surnames, plus a signature or other participant identifier. VAT tax invoices follow a stricter electronic registration process.
A working invoice should identify both parties, the invoice number, issue date, payment due date, goods or services supplied, quantity, unit price, currency, tax treatment, subtotal, tax amount, total due, and payment instructions. Use hryvnias for Ukraine-facing monetary obligations unless the contract and applicable rules support another arrangement.
For services, a line item can read: "Product design support, 12 hours, UAH 1,200.00 per hour, UAH 14,400.00 excluding VAT." Add VAT only when the seller is responsible for charging it. Keep supporting records for the transaction content, measurement unit, responsible persons, and approval identifier because those details matter for Ukrainian accounting evidence.
A Ukrainian VAT tax invoice is issued by a registered VAT payer with an individual VAT payer tax number. It must be prepared electronically with a qualified or qualifying advanced e-signature and registered in the Unified Register of Tax Invoices. A VAT tax invoice uses Ukrainian language and UAH with kopiykas unless the tax-invoice procedure provides otherwise.
Ukraine VAT rates include 20%, 14%, 7%, and 0% categories. VAT registration is compulsory when taxable transactions exceed UAH 1,000,000 during the past 12 consecutive months, with voluntary registration available before that point. If the contract does not set a payment date, the Civil Code default requires payment within seven days after the creditor's demand, unless the contract or law requires immediate performance.
A one-off invoice works for a single sale, a short freelance engagement, or a client who needs a clean document with the correct fields. It is enough when the price is already agreed, the line items are simple, and the supporting records sit in another system that the business can retrieve later.
A managed workflow becomes better when rates differ by project, person, or task, or when a rate changes mid-engagement. Everhour separates internal cost rates from client-facing billable rates, supports per-person defaults and per-project overrides, preserves dated rate history, and prices billable work by project, member, or custom task rate.

No. Ukraine treats ordinary primary documents and VAT tax invoices differently. Primary documents support accounting records, while VAT tax invoices are regulated electronic VAT documents issued by registered VAT payers and registered in the Unified Register of Tax Invoices. A seller that is not responsible for issuing a VAT tax invoice still needs a clear billing document and supporting accounting evidence.
Ukraine-facing monetary obligations are generally payable in hryvnias. A VAT tax invoice uses UAH with kopiykas unless the tax-invoice procedure provides otherwise. For ordinary commercial invoices, follow the contract, but keep the payment amount, tax treatment, and settlement instructions clear enough for the buyer's accounting team to match the invoice to the transaction.
Use the VAT rate that matches the supply. Ukraine's VAT regime includes a 20% standard rate, a 14% rate for certain agricultural products, a 7% reduced rate for specified medicines, medical goods and selected services, and a 0% rate for exports of goods and certain international-transport and related transactions. Do not use a VAT rate when the seller is not charging VAT.
A Ukrainian VAT tax invoice number must contain only numeric values, cannot be duplicated for the same date, and cannot begin with zero. The VAT payer tracks sequential numbers in any form and order. Ordinary invoice numbering should still stay consistent because duplicate or unclear numbers slow payment matching and record review.
Use the contractually fixed due date when the agreement contains one. If the contract does not set a due date or payment is due on demand, the Ukrainian Civil Code default requires the debtor to perform within seven days after the creditor's demand unless immediate performance follows from the contract or law.
Everhour separates cost rates from billable rates, so internal labor cost and client-facing invoice value stay distinct. Teams can use default per-person rates, override rates for specific projects, apply dated rate changes, and price billable work by project, member, or custom task rate.
Everhour Billing & Invoicing turns tracked billable time and expenses into invoices. Users can select uninvoiced time and expenses, preview the breakdown, group invoice lines by project, task, person, or date, and keep invoiced time marked so it does not appear again.
Set project, member, or task rates in Everhour, preserve dated rate changes, and keep billable work priced consistently as invoices move from tracked time to client billing.
