Use a Ukraine purchase order to confirm what you are buying, who supplies it, the agreed price, the currency, and the delivery or service terms before work starts. The PO should identify the buyer and supplier, show the PO number and date, list each item or service, and state the payment terms agreed in the contract.
Treat the purchase order as a commercial control document, not as the final VAT tax invoice. Ukrainian accounting records rely on primary documents that include the document title, date, issuer, transaction content and volume, responsible persons, and a signature or identifier. A PO can support internal approval and matching, while the later primary document or VAT tax invoice carries its own required form.
Ukraine distinguishes ordinary accounting source documents from VAT tax invoices. A Ukrainian VAT tax invoice is prepared by a registered VAT payer with an individual VAT payer tax number, completed electronically, signed with a qualified or qualifying advanced e-signature, and registered in the Unified Register of Tax Invoices.
A purchase order should collect the details that make the later VAT document easier to prepare: item descriptions, quantities, units, net prices, VAT treatment, and supplier tax status. Ukraine's VAT regime uses 20%, 14%, 7%, and 0% rates, but the later VAT tax invoice determines the formal VAT reporting record. VAT registration is compulsory when taxable transactions exceed UAH 1,000,000 during the past 12 consecutive months.
Strong PO lines use one row per good, service, delivery stage, or billing milestone. Each line should show a description, quantity, unit, unit price, line total, currency, and expected VAT handling. For Ukraine, use hryvnias when the obligation is payable locally, since monetary obligations are generally payable in UAH and VAT tax invoice monetary fields use hryvnias with kopiykas unless the procedure provides otherwise.
Payment terms deserve the same care as item details. If the contract sets a due date, copy that date into the PO. If no due date is set or payment is due on demand, Ukraine's Civil Code default requires performance within seven days after the creditor's demand unless immediate performance follows from the contract or law. A clear PO avoids that fallback becoming a dispute.
