Cleaner billing records that get paid

Build invoices for cleaning jobs

A cleaning-service invoice should identify the customer, cleaned property, service date or billing period, and the work performed. Commercial janitorial invoices commonly describe restrooms, trash removal, floors, windows, high-touch surfaces, and restocked supplies. Residential housekeeping invoices commonly describe rooms, hallways, restrooms, carpets, furniture, linens, and replenished bathroom or cleaning supplies.

The invoice also needs a clear charge structure. A recurring office-cleaning account can bill by visit, week, or month. A one-time deep clean can use a fixed service line plus separate supply or equipment charges. Net 30 means full payment is due within 30 days, while early-payment terms such as 1%/10 net 30 give a discount for payment within 10 days.

Include the right job details

Cleaning work often happens outside standard office hours, including evenings, nights, weekends, and shifts. Your invoice should show the date or recurring-service period so the customer can match the charge to a scheduled visit. A line such as "Night janitorial service, 123 Main Street, June 1-30, common areas and restrooms" is clearer than a generic cleaning fee.

Supplies and equipment need their own treatment when you charge them to the customer. Labor, service visits, restocked paper goods, specialty chemicals, equipment rental, and pass-through costs should not blur together. The U.S. median hourly wage for janitors and building cleaners was $17.27 in May 2024, a labor-cost benchmark rather than a customer billing rate.

Handle sales tax by location

The United States does not use a national VAT or GST invoice regime, and ordinary private-sector invoices do not follow one prescribed federal form. Sales and use tax depends on state and local rules, nexus, the customer location, and whether the cleaning service is taxable in that jurisdiction. Texas, for example, lists janitorial, custodial, carpet, rug, upholstery, laundry, cleaning, and garment services among taxable services.

Your sales-tax line should match the customer and service jurisdiction. California generally taxes retail sales of tangible personal property and only some service or labor charges, while Texas defines broad categories of taxable services. A cleaning business that sells in multiple states also needs to watch state nexus rules, including remote-seller thresholds that vary by state.

Move beyond one-off billing

A free invoice works for a single house clean, a small office visit, or a customer who needs one PDF with service date, site, scope, supplies, terms, and tax. It also works when the same person tracks the work, writes the invoice, sends it, and follows payment manually.

A managed workflow matters when crews work across multiple properties, customers expect recurring invoices, or billable time and expenses need review before billing. Everhour Billing & Invoicing turns tracked billable time and expenses into invoices, calculates amounts from rates, excludes non-billable tasks, applies client defaults, and exports invoices to QuickBooks Online, Xero, or FreshBooks.

Frequently Asked Questions

Which details should a cleaning-service invoice show?

A cleaning-service invoice should show the customer, cleaned property, service date or billing period, task scope, labor or visit charge, separately billed supplies or equipment, payment terms, and tax line when tax applies. Commercial invoices often list areas such as restrooms, floors, windows, trash, and surfaces. Residential invoices often list rooms, halls, carpets, furniture, linens, and supplies.

Does every cleaning invoice in the United States need sales tax?

No. The United States has no national VAT or GST invoice regime, and sales-tax treatment for cleaning services is state-specific. Texas taxes several cleaning-related services, including janitorial, custodial, carpet, rug, and upholstery cleaning. Other states use different rules, so the tax line belongs to the customer location, service type, and seller obligations.

Should cleaning supplies appear separately from labor?

Separating supplies from labor gives the customer a cleaner record and helps you support the charge later. Use separate lines for service labor, consumable supplies, specialty materials, equipment rental, or pass-through costs when those items are billed to the customer. A bundled cleaning package can stay as one line only when the contract and tax treatment support it.

Is Net 30 a good payment term for cleaning services?

Net 30 fits many recurring commercial cleaning accounts because the customer receives trade credit and pays the full balance within 30 days. Smaller residential jobs, one-time deep cleans, or new customers often need shorter terms, deposits, or payment due on receipt. The invoice should state the due date, late-fee policy, and accepted payment methods clearly.

Which mistake causes cleaning invoices to be disputed?

Vague service descriptions cause disputes because the customer cannot match the charge to a property, date, or scope. A line that says "cleaning services" leaves too much room for questions. A better line names the site, service period, and work performed, such as nightly janitorial service for floors, restrooms, trash, and high-touch surfaces.

How does Everhour Billing & Invoicing support cleaning-service invoices?

Everhour Billing & Invoicing converts tracked billable time and expenses into invoices, calculates invoice amounts from rates, and excludes non-billable tasks.
