Track your budget through time or costs
Every report you need — configured your way, always up to date.
Tracked hours flow straight into a polished invoice — no copy-paste, no manual math.
This page is for reviewing what client work is earning against the plan. Start with the ClickUp project, task, person, date and time range, duration, billable status, description, and tags when they clarify the work. Add the billable rate that applies to each entry in Everhour and keep non-billable tasks out of client revenue. The result should separate earned revenue, invoiced amounts, budget used, and budget remaining.
For ClickUp projects, the workflow keeps task work in ClickUp while revenue inputs live in Everhour. The Everhour browser extension adds controls for timer and manual time entry, estimates, budgets, billable project setup, project totals, and timesheets. Time tracked through Everhour is saved to Everhour reporting, so revenue review uses the Everhour billing and budget layer.
A useful revenue record needs more than a duration total. Each entry needs the task, person, date and time range, billable status, description, and tags when tags explain the work. Everhour rates turn reviewed billable time into money. Use a project rate when every hour sells at the same price, member rates when roles have different prices, and custom task rates when a task category has its own rate.
A clean line item might read: UX review, March 5, 2026, 3 hours, billable, senior designer rate, client notes attached. A fixed-fee project uses the fee budget as the revenue cap, then tracks consumed hours and costs against that amount. A time-and-materials project builds revenue from billable hours and billable expenses, so inaccurate billable status changes both revenue and invoice totals.
Revenue tracking gets messy when teams treat every logged hour as invoiceable money. Billable time, non-billable time, billable expenses, discounts, taxes, invoice status, and payment terms answer different questions. Logged billable work shows earned revenue. Invoiced revenue shows what has been sent to the client. Paid revenue belongs in the accounting system. Keep those states separate, or the project looks healthier than the client record supports.
A revenue review should also separate revenue from internal cost. Cost rates show labor expense, billable rates show client pricing, and the gap between them shows margin pressure. A project with strong billed revenue can still miss margin if senior staff consume the budget faster than planned. Review revenue beside cost, budget used, budget remaining, and invoice status before approving more work or adding scope.
A one-off revenue check is enough for a short task batch, a small fixed-fee job, or a single invoice preview. It gives you a current read on billable hours, billable expenses, and remaining fee budget. It breaks down when the project runs across weeks, multiple people add time, rates vary by role, or the client expects invoice backup.
A managed workflow keeps the revenue record current as work happens. Everhour can track time inside ClickUp, apply cost and billable rates, send budget alerts at admin-configured thresholds, and stop timers after a budget is exceeded when budget protection is enabled. Everhour Billing & Invoicing can generate invoices from uninvoiced time and expenses, then show exported invoice status, number, issue date, and amount.

Measure revenue from billable entries tied to a project, task, person, date range, and Everhour rate. Keep non-billable work visible for project review without adding it to client revenue. For fixed-fee work, compare work against the fee budget. For time-and-materials work, review billable hours and billable expenses before invoicing.
Earned, invoiced, and paid revenue answer different operational questions. Earned revenue supports project review, invoiced revenue supports billing follow-up, and paid revenue belongs in accounting. A project review should not treat a draft invoice, a sent invoice, and a collected payment as the same event.
Billable rates price the client-facing work and cost rates show the internal expense behind that work. Use project rates for one shared price, member rates when roles sell at different prices, and custom task rates for priced task categories. A wrong rate changes revenue, margin, and invoice amounts at the same time.
The common error is leaving internal work marked billable. Internal admin, rework outside the contract, sales support, and non-client meetings should stay visible in project reporting without flowing into billable revenue. Review billable status before invoicing so the revenue total matches the client agreement and the invoice support.
Everhour Billing & Invoicing converts tracked billable time and expenses into invoices, calculates invoice amounts from rates while excluding non-billable tasks, and supports client settings and invoice customization. Exported invoices are copied as drafts to QuickBooks Online, Xero, or FreshBooks, with status details visible in Everhour.
Everhour Project Budgeting lets admins set hour-based or fee-based budgets and choose the email thresholds that trigger notices. Those alerts show budget consumption while work continues, and budget protection can stop running timers after the budget is exceeded when that control is enabled.
