Use this page when you need a clean Philippine invoice for goods, services, leases, or project work. The practical goal is a document you can print, send, and file with complete seller details, buyer details when required, line items, totals, tax treatment, and payment terms. Philippine invoices commonly use Philippine peso amounts, so write totals in PHP unless the buyer contract requires another currency.
A printed invoice is not just a payment request. Philippine sales or commercial invoices must show the seller's name and Taxpayer Identification Number, transaction date, quantity, unit cost, and description of merchandise or nature of service. Printed sales or commercial invoices also require BIR authority to print, serial numbering, and the user's name, TIN, and business address.
Start with the seller block: registered business name, business address, TIN, invoice date, and invoice serial number. Add the buyer's legal name, address, and TIN when the sale is PHP 1,000 or more and the buyer is VAT-registered. Keep the description specific enough for approval, such as "Website maintenance services, May 2026" instead of a vague "services" line.
Each invoice line should show quantity, unit cost, item or service description, and line amount. For example, a Philippine service invoice can list "Design consultation, 10 hours, PHP 1,500 unit cost, PHP 15,000 line amount." Set the due date from the agreed period to pay, since the cited VAT rule refers to the parties' agreed payment period rather than a fixed national net-term rule.
The Philippines uses VAT as a national internal revenue tax. VAT-registered sellers issue VAT invoices for taxable sales of goods, properties, leases, and services. The standard VAT rate is 12% of gross sales for goods or properties and 12% of gross sales from services, including use or lease of properties. A VAT invoice must show the VAT amount separately.
Gross annual sales matter before you decide which tax line belongs on the invoice. Sales or leases of goods or properties and services are VAT-exempt when gross annual sales do not exceed PHP 3,000,000, subject to CPI adjustment every three years. A person exempt under that threshold and not VAT-registered generally pays 3% percentage tax on gross quarterly sales, except for stated exemptions such as cooperatives.
Before printing, check the serial number, seller TIN, business address, buyer details, and VAT label. A common mistake is printing a clean-looking invoice that lacks the BIR-required identifier or tax breakout. Another mistake is using the same generic template for VAT, VAT-exempt, and zero-rated sales. A VAT invoice must state that the seller is VAT-registered with its TIN and indicate that the total includes VAT.
For a one-off invoice, a printable document is enough when the sale is simple, the buyer details are known, and the tax treatment is already clear. Treat the serial number as a control field, not a decorative invoice number. A missing or duplicated serial number creates filing and audit problems.
For sales of PHP 1,000 or more to a VAT-registered purchaser, customer, or client, include the buyer's name, address, and TIN. For smaller sales or non-VAT buyers, keep enough buyer information to support collection and internal records, especially when the invoice will be matched to a purchase order or contract.
A VAT invoice must indicate that the total includes VAT and show the VAT amount as a separate item. It must also label VAT-exempt or zero-rated sales when applicable. Do not hide VAT inside the description field or leave the buyer to infer the tax treatment from the grand total.
Persons subject to internal revenue tax must issue duly registered sales or commercial invoices at the point of sale for transactions of PHP 500 or more, whenever the buyer requires one, and VAT-registered persons must issue invoices regardless of amount.
