Philippine invoicing details that matter

Create and email a Philippine invoice

Use this page when you need to prepare a sales or commercial invoice for a Philippine client and send it by email with the right supporting details. The finished invoice should identify the seller, describe the goods or services, state the PHP amount due, show the invoice number and date, and give the client enough information to approve and pay without another message.

Philippine invoicing rules center on BIR-registered sales or commercial invoices. Persons subject to internal revenue tax must issue duly registered invoices for transactions of PHP 500 or more, whenever the buyer requires one, and VAT-registered persons must issue invoices regardless of amount. Treat the emailed file as the client-facing delivery format, while the invoice content still needs the required BIR information.

Include the required invoice fields

A Philippine sales or commercial invoice must show the seller's name and Taxpayer Identification Number, transaction date, quantity, unit cost, and description of merchandise or nature of service. Printed sales or commercial invoices require BIR authority to print, serial numbering, and the user's name, TIN, and business address. Keep the invoice number visible in both the PDF and the email subject.

For sales of PHP 1,000 or more made to a VAT-registered purchaser, customer, or client, include the buyer's name, address, and TIN. A service invoice can list the work as one line, such as "Design implementation services, June 2026, 20 hours at PHP 1,500 per hour." Add the due date based on the agreed period to pay, since the cited invoice rules do not set one fixed national net-term.

Handle VAT and percentage tax clearly

The Philippines uses VAT as a national internal revenue tax. VAT-registered sellers issue VAT invoices for taxable sales of goods, properties, leases, and services. The standard VAT rate is 12% of gross sales for goods or properties and 12% of gross sales from services, including use or lease of properties. A VAT invoice must show the VAT amount as a separate item.

Sales or leases of goods or properties and performance of services are VAT-exempt when gross annual sales do not exceed PHP 3,000,000, subject to CPI adjustment every three years. A person exempt from VAT under that threshold and not VAT-registered pays percentage tax equal to 3% of gross quarterly sales, except for stated exemptions such as cooperatives. Do not label a non-VAT invoice as VAT-inclusive.

Move from one invoice to workflow

A one-off invoice is enough when you have a single client, one service line, a known price, and no need to reconcile tracked work later. Save the sent PDF, keep the serial number consistent with your records, and store the email thread with payment instructions and any buyer tax details the client supplied.

A managed workflow matters when rates vary by person, project, or task. Everhour separates cost and billable rates, supports per-person defaults and per-project overrides, preserves dated rate history, and prices billable work by project, member, or custom task rate. That keeps the invoice amount tied to the work record instead of a manual spreadsheet entry.

Frequently Asked Questions

Is an emailed invoice acceptable for a Philippine client?

Email can deliver the invoice to the client, but the document still needs the proper Philippine invoice content. Use a BIR-registered sales or commercial invoice format, keep the serial number, show the seller's name, TIN, business address, date, line details, and tax treatment, then attach the invoice as a PDF or other agreed file.

Which Philippine tax number belongs on the invoice?

The seller's Taxpayer Identification Number belongs on the invoice. For sales of PHP 1,000 or more made to a VAT-registered purchaser, customer, or client, the invoice must also include the buyer's name, address, and TIN. Ask the buyer for those details before sending the final version.

Should a Philippine VAT invoice show VAT separately?

Yes. A VAT invoice must state that the seller is VAT-registered with its TIN, indicate that the total includes VAT, and show the VAT amount as a separate item. It must also label VAT-exempt or zero-rated sales when applicable. The standard VAT rate is 12% for taxable sales under the cited rules.

Which currency should the invoice use?

Use Philippine peso amounts for a Philippine invoice unless the contract requires another currency. Philippine invoices commonly use PHP, and the Bangko Sentral ng Pilipinas has exclusive authority to issue coins and notes for circulation in the Philippines. If a foreign currency appears for reference, keep the PHP amount clear for local records.

Which mistake causes invoice email delays in the Philippines?

Missing buyer details cause avoidable delays when the buyer is VAT-registered and the sale is PHP 1,000 or more. The invoice needs the buyer's name, address, and TIN in that case. Another common mistake is sending a VAT invoice without a separate VAT amount, even though the VAT invoice rules require that breakout.

How does Everhour keep Philippine invoice rates accurate?

Everhour separates internal cost rates from client-facing billable rates, then supports per-person default rates and per-project overrides. Dated rate changes keep older reports tied to the original pricing, while project, member, and custom task rates let the invoice amount match the billing structure agreed with the client.

How does Everhour turn tracked work into invoices?

Everhour Billing & Invoicing lets users select uninvoiced time and expenses, preview the breakdown, and generate an invoice from billable time, rates, and billable expenses. Non-billable work stays out of the invoice total, and invoice line items can be grouped by project, task, person, date, or another available breakdown.

Keep invoice rates tied to work

Set billable rates once, apply project overrides when client terms change, and keep dated rate history intact. Everhour connects tracked work to billing rules so invoices reflect approved pricing.
