An invoice is a request for payment. A receipt proves payment received. An estimate or quote gives a pre-work price, with a quote usually carrying firmer terms than an estimate. Keeping those documents separate prevents disputes about whether the client owes money, already paid, or only reviewed a proposed price.

Required fields on a usable invoice

A usable invoice identifies both parties, assigns a sequential invoice number, shows the issue date and due date, and lists the work or goods sold. Each line should describe the item, quantity, unit rate, and line total. The invoice then shows a subtotal, any discount, the correct tax line when tax applies, the final amount due, payment terms, and remittance details.

United States private-sector invoices do not follow one prescribed federal form. For federal tax records, businesses may choose any recordkeeping system suited to the business if it clearly shows income and expenses, and invoices act as supporting documents. Federal contract invoices are different: FAR 32.905 defines proper invoice fields, including contractor details, invoice date and number, contract references, line items, payment terms, payee details, and TIN or EFT banking data when agency procedures require them.
