Use this page when you need to create and send a client invoice with the basic commercial details already organized: seller, buyer, invoice number, dates, line items, tax line, total, payment terms, and remit-to information. The result should be a finished invoice you can download, email, print, and keep with the records that support your income.
An invoice is a request for payment. A receipt proves payment received. An estimate or quote gives a pre-work price, with a quote usually carrying firmer terms than an estimate. Keeping those documents separate prevents disputes about whether the client owes money, already paid, or only reviewed a proposed price.
A usable invoice identifies both parties, assigns a sequential invoice number, shows the issue date and due date, and lists the work or goods sold. Each line should describe the item, quantity, unit rate, and line total. The invoice then shows a subtotal, any discount, the correct tax line when tax applies, the final amount due, payment terms, and remittance details.
United States private-sector invoices do not follow one prescribed federal form. For federal tax records, businesses may choose any recordkeeping system suited to the business if it clearly shows income and expenses, and invoices act as supporting documents. Federal contract invoices are different: FAR 32.905 defines proper invoice fields, including contractor details, invoice date and number, contract references, line items, payment terms, payee details, and TIN or EFT banking data when agency procedures require them.
Free invoicing software earns its place when it lets you finish the document in the browser without a signup wall, installation, or surprise export limit. The important output is a usable PDF or printable invoice that preserves the invoice number, dates, line items, totals, payment terms, and seller details exactly as entered.
Free access should not mean guessing at taxes. The United States does not use a national VAT or GST invoice regime. Sales and use tax obligations come from state and local jurisdictions, and rates depend on the applicable state and local rate. Service taxability also varies: California generally taxes retail sales of tangible personal property and only some service or labor charges, while Texas defines 16 broad categories of taxable services.
A free tool is enough for a one-off invoice, a new client test, or a simple fixed-fee job with a short line-item list. It also works when you already track the underlying work elsewhere and only need a clean billing document. The risk grows when billable hours, expenses, approvals, and invoice status live in separate files.
A managed workflow matters when tracked billable time and project costs need to feed invoices without re-entry. Everhour supports project billing status, task-level non-billable controls, custom task rates, member-rate exceptions, and admin reports for billable time, non-billable time, billable amount, and cost. That structure helps separate client charges from internal work before the invoice is created.

Free invoicing software is enough when you need to create a clear invoice, download it, send it to a client, and keep a copy with your records. A small business needs more than a free generator once invoice status, recurring billing, tracked time, expenses, approvals, or accounting handoff must stay connected across clients.
Ordinary United States private-sector invoices do not use a single federal invoice format. IRS records need to clearly show income and expenses, and invoices serve as supporting documents for business transactions. Federal procurement is the major national exception, because FAR 32.905 defines proper invoice details for federal contract billing.
Free invoicing software can provide a tax field, but the seller remains responsible for applying the correct state and local treatment. The United States has no single national sales-tax rate. Taxability depends on nexus, the product or service sold, the customer location, and the applicable state and local rules.
A private invoice does not automatically need a Taxpayer Identification Number. Businesses usually provide a TIN through Form W-9 when a payer needs it for IRS information returns. Federal contract invoices include a TIN only when agency procedures require it, along with the other proper invoice fields under FAR 32.905.
The most damaging mistake is leaving payment terms unclear. A client should see the amount due, due date, accepted payment method, remit-to details, and any purchase order or contract reference needed for approval. Federal contract invoices generally use the later of 30 days after receipt of a proper invoice or 30 days after government acceptance, with specific exceptions.
Everhour lets admins set project billing status, mark specific tasks as non-billable, apply custom task rates, and use member-rate exceptions. Admin reports can show billable time, non-billable time, billable amount, and cost, so invoiceable work stays separate from internal time.
Everhour Billing & Invoicing lets users select uninvoiced time and expenses, preview the breakdown, and generate an invoice from billable work. Invoice line items can be grouped by project, task, person, date, or other available breakdowns before export to QuickBooks Online, Xero, or FreshBooks.
Track billable and non-billable work before the invoice is due. Everhour connects project billing status, task rates, invoice generation, and reporting so client charges stay accurate from timesheet to invoice.
