The practical goal is simple: issue a document that identifies the seller, names the buyer when required, explains the goods or services, shows PHP amounts clearly, and gives the payer the due date agreed by the parties.
Philippine invoicing rules center on BIR-registered sales or commercial invoices. Persons subject to internal revenue tax must issue duly registered invoices at the point of sale for transactions of PHP 500 or more, whenever the buyer requires one, and VAT-registered persons must issue invoices regardless of amount. That issue rule affects small transactions as well as recurring client work.
A Philippine sales or commercial invoice must show the seller's name and Taxpayer Identification Number, transaction date, quantity, unit cost, and description of merchandise or nature of service. Printed sales or commercial invoices require BIR authority to print, must be serially numbered, and must show the user's name, TIN, and business address.
For sales of PHP 1,000 or more made to a VAT-registered purchaser, customer, or client, the invoice must include the buyer's name, address, and TIN. Treat those buyer details as required inputs before sending, not as optional notes after the invoice is approved. A missing buyer TIN can delay accounting review even when the service description and amount are correct.
