The quote is commercial, not the final BIR-registered sales or commercial invoice. It should still collect the details that the later invoice will need, especially the seller identity, buyer identity, line descriptions, and PHP amounts.

A quote works best when it removes the buyer's next question. State whether the price is valid for a defined period, which services or goods are included, which items are excluded, and whether delivery, setup, or support costs appear as separate lines. For service work, name the deliverable and pricing basis clearly, such as fixed project fee, hourly rate, retainer, or milestone.

Philippine invoicing rules center on BIR-registered sales or commercial invoices. A registered invoice must show the seller's name and Taxpayer Identification Number, transaction date, quantity, unit cost, and description of merchandise or nature of service. Printed sales or commercial invoices also require serial numbering and the seller's business address.

A quote does not replace that invoice, but it should make the invoice easy to issue after acceptance. Add the buyer's legal name, address, contact person, and TIN when available. For a sale of PHP 1,000 or more to a VAT-registered buyer, the later invoice must include the buyer's name, address, and TIN, so collecting those details at quote stage prevents corrections.

Handle VAT and price terms clearly

The Philippines uses VAT, and VAT-registered sellers issue VAT invoices for taxable sales of goods, properties, leases, and services. The standard VAT rate is 12% of gross sales.
