Printable invoicing for Indonesian billing

Prepare a usable billing document

Use this page when you need a clear invoice for an Indonesian customer, vendor, project, or client file. The document should show who sold the goods or services, who received them, what was supplied, the price, discounts, tax, issue date, and payment instructions. Amounts should appear in rupiah, shown as IDR or Rp, because the rupiah is Indonesia's currency managed by Bank Indonesia.

A printed invoice can support collection, internal approval, and accounting review. A PKP tax invoice has a narrower meaning. Under Indonesia's PPN system, a taxable entrepreneur, or Pengusaha Kena Pajak, issues a Faktur Pajak for taxable goods or taxable services. Non-PKP persons or entities are prohibited from issuing a tax invoice, so do not label a regular invoice as a Faktur Pajak unless the seller is PKP.

Include the required Indonesian details

A Faktur Pajak must include the seller's name, address, and Nomor Pokok Wajib Pajak, or NPWP. It must also identify the buyer or service recipient with name, address, and NPWP, NIK for Indonesian individuals, passport number for foreign individuals, or name and address for certain foreign bodies or non-tax subjects. These identifiers make the printed document traceable for tax and accounting review.

The line section needs the type of goods or services, selling price or compensation, any discount, PPN collected, luxury-goods sales tax collected where applicable, invoice code, serial number, issue date, and the authorized signer's name and signature. Indonesia's standard PPN rate is 12% starting no later than January 1, 2025 under the amended VAT Law. A 0% PPN rate applies to qualifying exports consumed outside Indonesia's customs area.

Print only after tax review

A printed copy should match the tax treatment used in the underlying record. A common mistake is printing a clean-looking invoice before confirming whether the seller is PKP, whether PPN applies, and whether the buyer identifier is complete. A missing NPWP, NIK, passport number, invoice code, or serial number can turn a polished document into a weak record.

Timing also matters. A Faktur Pajak must be made at supply, prepayment, milestone payment for partial work, or another time set by Ministry of Finance rules. A PKP may issue one consolidated Faktur Pajak for all supplies to the same buyer or service recipient during one calendar month, and it must be made no later than the end of that month.

Move from printouts to workflow

A one-off printable invoice is enough for a simple sale, a draft sent for review, or a client who needs a PDF-style document before payment. Use it to collect missing buyer details before issuing the final tax invoice through the correct process. Keep the printed version aligned with the final record, especially when PPN, discounts, or milestone billing change.

A managed workflow becomes necessary when billable work, project costs, approvals, and invoice status need a single record. Everhour Reporting can group time, costs, clients, projects, invoice status, billable time, labor costs, and profit across 45+ report columns. That reporting layer helps teams review what should be billed before creating or exporting invoices through the accounting process.

Frequently Asked Questions

Is an Indonesian invoice the same as a Faktur Pajak?

No. A commercial invoice requests payment and supports ordinary billing. A Faktur Pajak is an Indonesian PPN tax invoice issued by a PKP for taxable goods or taxable services. Non-PKP persons or entities are prohibited from issuing a tax invoice, so the printed document should use the correct label for the seller's tax status.

Which buyer identifier belongs on an Indonesian tax invoice?

A Faktur Pajak must identify the buyer or service recipient with name and address, plus the correct identifier. Use NPWP for a tax-registered party, NIK for an Indonesian individual, passport number for a foreign individual, or name and address for certain foreign bodies or non-tax subjects.

Should PPN appear on every printed Indonesian invoice?

PPN appears when the transaction is taxable under Indonesia's PPN rules and the seller is PKP. The standard PPN rate is 12% starting no later than January 1, 2025 under the amended VAT Law. Qualifying exports of taxable goods or taxable services for consumption outside Indonesia's customs area use a 0% PPN rate.

Can one printed invoice cover a month of supplies?

A PKP may issue one consolidated Faktur Pajak for all supplies to the same buyer or service recipient during one calendar month. The consolidated tax invoice must be made no later than the end of that month. Use this option only when the supplies and buyer relationship fit that monthly consolidation rule.

Does printing replace DGT e-Faktur for PKP users?

Printing does not replace the electronic tax-invoice process for PKP users. Indonesia's Directorate General of Taxes lists Aplikasi e-Faktur Desktop as a VAT application for PKP users, with version 3.2 marked valid. A printed copy should reflect the electronic tax invoice details rather than create a separate tax record.
