Building invoices for Indonesian clients

Create the invoice you need

Use an invoicing app for Indonesia when you need a clean client invoice in rupiah, with buyer details, service lines, discounts, tax treatment, payment terms, and a clear total due. The practical goal is a document the client can approve, route internally, and pay without asking for missing billing information.

For Indonesian VAT purposes, the tax invoice is a Faktur Pajak under the PPN regime. Only a Pengusaha Kena Pajak, or PKP, must issue a Faktur Pajak for taxable goods or taxable services, and non-PKP persons or entities are prohibited from issuing a tax invoice. That distinction matters before you add a PPN line.

Include Indonesia-specific tax fields

A Faktur Pajak must include the seller's name, address, and Nomor Pokok Wajib Pajak, or NPWP. It must also identify the buyer or service recipient with name, address, and NPWP, NIK for Indonesian individuals, passport number for foreign individuals, or name and address for certain foreign bodies or non-tax subjects.

The invoice detail also matters. A Faktur Pajak must state the type of goods or services, selling price or compensation, any discount, PPN collected, luxury-goods sales tax collected where applicable, invoice code, serial number, issue date, and the authorized signer's name and signature. For ordinary client billing, mirror those details wherever they affect review and payment.

Handle PPN and e-Faktur timing

Indonesia's indirect tax on taxable goods and taxable services is Pajak Pertambahan Nilai, commonly abbreviated PPN and equivalent to VAT. The VAT Law as amended by the Harmonized Tax Law sets the PPN rate at 12% starting no later than January 1, 2025, with power to adjust the rate between 5% and 15% by government regulation.

A Faktur Pajak must be made at supply, prepayment before supply, term or milestone payment for partial work, or another time set by Ministry of Finance rules. A PKP may issue one consolidated Faktur Pajak for all supplies to the same buyer during one calendar month, no later than the end of that month. PKP users handle electronic tax invoices through the DGT e-Faktur system.

Move from one invoice to workflow

A free invoice document is enough for a one-off Rp invoice when the service scope, buyer identity, tax treatment, and payment terms are already clear. It also works for a simple non-PKP commercial invoice that does not claim to be a Faktur Pajak. Keep the tax invoice wording accurate so the document does not overstate your status.

A managed workflow becomes necessary when billable time, non-billable time, rates, expenses, approvals, and repeated clients drive the invoice amount. Everhour supports that handoff by separating billable and non-billable work through project billing status, task-level non-billable controls, custom task rates, member-rate exceptions, and reports for billable time, non-billable time, billable amount, and cost.

Frequently Asked Questions

Does every Indonesia invoice need to be a Faktur Pajak?

No. A Faktur Pajak is the Indonesian VAT tax invoice for taxable goods or taxable services issued by a PKP. Non-PKP persons or entities are prohibited from issuing a tax invoice. A regular commercial invoice can still request payment, but it should not present itself as a Faktur Pajak unless the issuer is a PKP.

Which buyer identifiers belong on an Indonesian tax invoice?

A Faktur Pajak must identify the buyer or service recipient with name and address, plus the correct identifier. That can be NPWP, NIK for Indonesian individuals, passport number for foreign individuals, or name and address for certain foreign bodies or non-tax subjects. Missing buyer identity details create avoidable review delays.

Does PPN apply to exports from Indonesia?

A 0% PPN rate applies to exports of tangible taxable goods, intangible taxable goods, and taxable services for consumption outside Indonesia's customs area. That is a zero-rated export treatment, not the same as ignoring tax classification. The invoice should still describe the supply and preserve the basis for the export treatment.

Can one Indonesian tax invoice cover a month of supplies?

Yes. A PKP may issue one consolidated Faktur Pajak for all supplies to the same buyer or service recipient during one calendar month. The consolidated tax invoice must be made no later than the end of the month of supply. This is useful for recurring services, retainers, or repeated project work.

Which mistake causes the most trouble in Indonesian invoicing?

The biggest practical mistake is mixing a payment invoice with a Faktur Pajak without checking PKP status and required fields. PPN, NPWP or NIK details, invoice code, serial number, issue date, and authorized signature are not decorative fields. They determine whether the tax invoice is complete.

How does Everhour support billable and non-billable invoice work?

Everhour lets admins set project billing status, mark specific tasks as non-billable, apply custom task rates, and use member-rate exceptions. Reports can show billable time, non-billable time, billable amount, and cost, so invoice preparation starts from classified work instead of reconstructed notes.

How can Everhour turn tracked work into invoices?

Everhour Billing & Invoicing converts uninvoiced billable time and expenses into client invoices. It calculates invoice amounts from rates, time, and billable expenses while excluding non-billable work, then marks invoiced time so the same work does not appear again on a later invoice.

Build invoice workflows that last

Classify billable work before invoice day. Everhour gives teams project billing status, non-billable task controls, custom rates, and billing reports for cleaner invoice totals.
