You came to this page to send an invoice that a client can understand, approve, and pay without extra clarification. A complete United States business invoice usually includes seller and buyer details, an invoice number, issue date, due date, line items, quantity, rate, subtotal, any applicable tax line, total due, payment terms, and remit-to details.
An invoice is a request for payment. A receipt proves payment received. An estimate or quote gives a pre-work price, with a quote usually treated as firmer than an estimate. Sending the right document matters because the buyer's accounting team, payment approver, and tax records rely on the label and timing of the transaction.
A buyer usually checks three things before approving payment: who issued the invoice, what work or goods the invoice covers, and whether the amount matches the agreement. Use a sequential invoice number, the correct legal or trade name, the buyer's billing contact, and line items specific enough to match a contract, purchase order, statement of work, or email approval.
A service invoice line can read: "Website maintenance, March 2026, 12 hours at $85 per hour." That line gives the buyer the service, period, quantity, rate, and basis for the total. Add payment terms such as Net 15 or due on receipt only if they match the contract, purchase order, or client policy.
Invoice delivery is part of the control record. Email works for many private-sector clients, but some buyers require a vendor portal, purchase order reference, project code, or department approval before payment starts. Use the buyer's required channel first, then keep a copy of the sent invoice, delivery date, and any confirmation or approval reply.
United States private-sector invoices do not follow one prescribed federal invoice form, and the United States does not use a national VAT or GST invoice regime. Sales and use tax depends on state and local rules, nexus, product or service taxability, and where the sale is sourced. Federal contracts are a clear exception, since FAR rules define proper invoice fields and generally use a 30-day payment timing standard.
A one-off invoice is enough when you have a single job, a clear price, and no need to reuse the time or cost records. It becomes fragile when several people track work, rates change by person or project, or you need to prove which hours already became invoice lines.
Everhour supports that managed workflow by separating cost and billable rates, setting per-person defaults and per-project overrides, preserving dated rate history, and pricing billable work by project, member, or task. Tracked billable time can then feed invoice preparation without rebuilding the numbers from scattered notes.

Confirm the buyer's billing name, billing email or portal, purchase order requirement, invoice number, issue date, due date, line items, tax treatment, total due, and payment method. The invoice should also show where payment goes. A missing purchase order, wrong billing entity, or vague line item can delay approval even when the amount is correct.
An emailed PDF invoice is acceptable for many ordinary United States private-sector transactions when the buyer accepts that delivery method. No single federal private-sector invoice format controls ordinary business invoices. Some customers still require vendor portals, e-invoicing systems, purchase order references, or contract-specific submission steps, so the buyer's process controls the delivery method.
Sales tax should appear only when the sale is taxable and the seller has a collection obligation under the applicable state and local rules. The United States has no national VAT or GST invoice regime and no single national sales tax rate. Rates and taxability vary by jurisdiction, product or service type, nexus, and place of sale.
A regular private-sector invoice does not automatically need an EIN or Taxpayer Identification Number. Businesses commonly provide a TIN through Form W-9 when a payer needs it for IRS information reporting. Federal contract invoices include a TIN only when agency procedures require it, along with other FAR proper-invoice fields.
The most common delay comes from sending a correct-looking invoice to the wrong process. A client may require a purchase order number, vendor portal upload, project code, department approver, or specific billing contact. The invoice can have accurate math and still sit unpaid if it bypasses the approval route named in the contract or onboarding instructions.
Everhour separates internal cost rates from client-facing billable rates, with default per-person rates and per-project overrides. Rate changes can be dated so older reports keep their original calculations, and billable projects can be priced by project, member, or custom task rate before invoice amounts are prepared.
Everhour Billing & Invoicing lets users select uninvoiced time and expenses, preview the breakdown, and generate an invoice from billable time, rates, and billable expenses. Non-billable work stays out of the invoice, and invoiced time is marked as invoiced so it does not appear again in a later invoice.
Turn billable time, rates, and project work into invoice-ready records. Everhour gives teams dated rate history and project-level billing structure for accurate client invoicing.
