Hungarian quote basics for billable work

Prepare a client-ready offer

Use a quote when you need to price goods, services, project work, or billable time before the customer approves the purchase. The quote should state who is selling, who is buying, what will be delivered, the price, the currency, the validity period, and the payment terms that apply after acceptance.

For Hungary, treat the quote as the start of the invoice record. Hungarian VAT-taxable persons must ensure that an invoice is issued for VAT-taxable supplies of goods or services made in Hungary for consideration, unless a specific VAT Act exemption allows another document or receipt treatment. A quote does not replace that invoice after the taxable supply happens.

Build the quote details

List each product, service, task, or project phase on its own line when the buyer needs detail. A service quote can use lines such as discovery, implementation, support, and travel expenses. Each line should show a description, quantity or unit, unit price, discount if any, net amount, VAT treatment, and total.

Hungarian invoice rules explain why those fields matter. A Hungarian VAT invoice must show goods or service name, measurable quantity, supply or advance date when different from issue date, taxable amount, unit price excluding tax, discounts not included in the unit price, applied tax rate, output VAT amount, and any exemption reference. Matching the quote structure to those fields prevents rework.

Keep Hungary's VAT path clean

Hungary uses VAT rather than sales tax. The general VAT rate is 27% of the taxable amount, while 0%, 5%, and 18% rates apply only to goods and services listed in the VAT Act, with exemptions for specified activities. Do not use a reduced rate on a quote unless the item qualifies under the VAT Act.

Domestic VAT invoices must show output VAT payable in HUF, even when other invoice details use another currency. A euro quote can still be useful for a foreign buyer, but the later Hungarian VAT invoice needs the HUF VAT amount. Invoices may be issued in Hungarian or any spoken foreign language, though an official Hungarian translation may be required during a tax audit.

Use a tool or managed workflow

A one-off quote tool is enough when you need a clean PDF for a single buyer, a short list of line items, and a simple approval record outside the tool. Keep the accepted quote, customer details, price basis, VAT treatment, and final invoice together so the audit trail is readable.

A managed workflow fits recurring client work, hourly projects, and teams that invoice from approved work. Everhour Billing & Invoicing converts tracked billable time and expenses into invoices, calculates invoice amounts from rates while excluding non-billable tasks, and supports client settings, invoice customization, and exports to QuickBooks Online, Xero, or FreshBooks.

Frequently Asked Questions

Is a Hungary quote the same as a VAT invoice?

A quote is a commercial offer. A Hungarian VAT invoice is the tax document issued for a taxable supply within the VAT Act scope. After the customer accepts the quote and the supply or payment event triggers invoicing, the invoice needs the required issue date, unique sequential number, party details, taxable amounts, VAT rates, and VAT amounts.

Which details should a Hungary quote collect before invoicing?

Collect the supplier name, supplier address, supplier tax number, customer name, customer address, item or service description, quantity, unit price, discount, VAT treatment, currency, payment term, and quote validity date. Customer tax number also matters for reverse-charge, intra-Community, or domestic taxable-customer cases specified by the VAT Act.

Should a Hungary quote show VAT in HUF?

A quote should show pricing in the currency the buyer expects, but the later domestic VAT invoice must show output VAT payable in HUF. Use a clear VAT line when the quote includes Hungarian VAT, and keep the exchange-rate basis or conversion note with the accepted quote if the commercial price is in another currency.

Which VAT rate should appear on a Hungarian quote?

Use 27% for standard-rated Hungarian VAT supplies. Use 0%, 5%, or 18% only when the goods or services are listed for that rate in the VAT Act, or show the applicable exemption reference when an exemption applies. Guessing a reduced rate creates an invoice correction problem after the buyer accepts the quote.

Do electronic quotes need customer consent in Hungary?

Electronic invoicing in Hungary requires the recipient's consent, and EDI-based electronic invoicing also requires a prior written agreement. A quote is not the same document as the VAT invoice, but the buyer's delivery preference still belongs in the quote workflow so the accepted sale can move into the correct invoice channel.
