Create a Malaysia-ready invoice

A Malaysia invoice should give the buyer enough detail to approve payment and give the tax authority the structured fields required for review. For SST-registered manufacturers and service providers, Malaysia's SST guidance allows sales tax and service tax invoices in hard copy or electronic form, with prescribed particulars. The same guidance permits invoices in Malay or English.

The practical job is straightforward: identify the supplier and buyer, list the work or goods, apply the correct SST treatment where registration and transaction type require it, and show the payable total in a format the client can process. For e-Invoice use, MyInvois also expects the invoice currency code, line items, monetary totals, total tax amount, and tax type.

Match MyInvois field requirements

Malaysia's e-Invoice system covers B2B, B2C, and B2G transactions, with near real-time validation and storage through LHDN. Mandatory rollout follows annual turnover or revenue: more than RM100 million from August 1, 2024; more than RM25 million to RM100 million from January 1, 2025; more than RM5 million to RM25 million from July 1, 2025; RM1 million to RM5 million from January 1, 2026. Taxpayers below RM1,000,000 are exempt.

A compliant e-Invoice needs supplier and buyer information, e-Invoice type and version, e-Invoice code or number, issue date and time, digital signature, invoice currency, line items, totals, total tax amount, and tax type. Supplier details include TIN, registration or identification number, MSIC code, business activity description, address, and contact number. An SST number is mandatory for SST registrants, while non-registrants use `NA`.

Avoid identifier and currency gaps

Malaysia invoices often fail review because the tax identifiers do not match the transaction. The buyer section requires the buyer's name, TIN, registration or identification number, address, and contact number. The buyer SST registration number field is mandatory for SST registrants, and `NA` is allowed if the number is unavailable or not provided.

Currency also needs attention. MyInvois makes the invoice currency code mandatory, and a currency exchange rate is mandatory when a non-Malaysian currency must be converted into Malaysian Ringgit. Totals should separate tax-exclusive total, tax-inclusive total, payable total, total tax amount, and total tax amount per tax type, instead of hiding tax inside one combined amount.
