UX designers commonly bill for discovery research, usability evaluation, wireframes, prototypes, design systems, and implementation support. Your invoice should show the client, your business details, invoice date, invoice number, payment terms, project name, line items, rates, expenses, taxes where applicable, and the amount due. A clear invoice helps the client match the charge to the proposal, statement of work, purchase order, or approved project milestone.
Use the invoice to document work already agreed in writing, not to renegotiate scope after delivery. AIGA and Graphic Artists Guild design-service resources treat pricing, rights, deliverables, expenses, and payment timing as pre-work agreement topics. If a UX project includes multiple phases, label the invoice around the actual work delivered, such as Analysis, Design, Implementation, or Deployment, instead of using a vague single line for design services.
A UX invoice works best when each line item maps to a concrete project outcome. For example, a mid-project invoice can include "Analysis: stakeholder interviews and research synthesis," "Design: checkout wireframes," and "Evaluation: moderated usability test review." Hourly work should show the rate and hours. Fixed-fee work should show the agreed milestone or deliverable amount. Expenses should sit on separate lines so the client can review them quickly.
UX research creates extra invoice discipline. Participant incentives, recruiting costs, prototype tools, and travel reimbursements should be transparent and tied to the agreement. UXPA's code expects UX practitioners to avoid excessive or inappropriate financial inducements, so incentives should be defensible as research costs. Backup material should also respect privacy, confidentiality, anonymity, and informed consent. Do not attach participant names, recordings, or identifiable study notes to an invoice unless the agreement and consent process clearly allow it.
Payment timing belongs on the invoice because clients use it to schedule payment. AIGA's standard design-services terms use invoices payable within 30 days of receipt as a design-industry contract convention, but actual terms remain negotiable by client agreement. If the project uses deposits, milestone billing, or a retainer, make that structure visible in the line items and balance due so the invoice does not look like a surprise final charge.
Late fees also need contract support. AIGA's standard terms use a 1.5% monthly service charge on overdue balances, limited by the maximum amount permitted by applicable law, when that term appears in the agreement. Do not add a late-fee line for the first time on an invoice if the client never accepted it. For covered freelance work in New York City worth $800 or more in 120 days, the agreement must be in writing and state the work, pay, and payment date.
A free invoice template is enough for a one-off UX project, a single client milestone, or a simple fixed-fee deliverable. It gives you a clean document with the fields a client expects and helps you avoid missing invoice basics. It also works well when the amount due comes from a signed proposal and you only need to turn the approved scope into a payment request.
