Include the right invoice fields

Start with the identifying fields: seller name and address, buyer name and address, invoice date, due date, and a sequential invoice number. Add line items with descriptions, quantities, rates, and extended amounts. Include subtotal, any discount, tax line, total due, payment terms, and the address or account details the buyer should use for payment.

Sales tax belongs on the invoice only when the sale requires it under the applicable state and local rules. The United States does not use a national VAT or GST invoice regime. Sales and use tax depends on nexus, the product or service sold, and the place of sale. Washington, for example, has a 6.5% state portion plus a local portion that varies by city or county.

Keep affordability from creating rework

Low-cost templates fail when they save design time but omit approval details. A buyer still needs to match the invoice to the work, contract, purchase order, or project.
