A closed deal can trigger a draft record, a completed project can notify finance, or a new client can create a customer record before billing starts. The listing includes triggers such as New Client, New Project, New Task, Task Time Updated, Timer Started, and Timer Stopped. It does not list an invoice-named Everhour trigger or action, so use Zapier for the surrounding workflow instead of treating it as the invoice creation engine.
A usable United States invoice needs enough detail to support payment, records, and the contract. Include the seller and customer, invoice date, invoice number, due date, payment terms, line descriptions, quantities or time, rates, amounts, discounts, tax treatment, and payment instructions. Private-sector United States invoices are supporting documents for business records, with no prescribed federal private-sector invoice form.
Sales tax needs state and local handling, not a national VAT or GST line. The United States does not use a national VAT or GST invoice regime. Sales and use tax obligations are imposed by states and local jurisdictions, and service taxability varies by state and service type. A Zap can pass a tax field forward, but your source system still needs the correct rate, tax code, and customer location logic.
Zapier field mapping sends data from a previous trigger or action into a later action field. That works well for invoice-adjacent data such as client name, project ID, task name, time entry comment, due terms, default tax rate, or a file link. The Everhour Add Time action requires Project, Task, and Time, with Date and Comment available as additional fields.
The common mistake is mapping a single static value where every invoice run needs event-specific data. A client default tax rate, due term, or discount can be useful, but a line item still needs the actual work, rate, amount, and period. Zapier can move mapped fields between apps; it does not validate United States sales-tax nexus, decide service taxability, or replace the review step for client-facing invoice drafts.

Zapier runs automations between connected apps through triggers and actions. It can move invoice-related fields, create records, send notifications, and pass data into another billing tool. The complete invoice still needs a system that stores the client, line items, dates, rates, discounts, tax treatment, payment terms, and final document.
Client name, project or matter, invoice contact, period, line-item description, quantity or time, rate, tax code or tax rate, discount, due terms, and payment status are the main fields. Zapier mappings should pull those values from the event that started the workflow, so each run uses the actual client and project data.
A United States invoice workflow does not need a national VAT or GST registration field because the United States does not use a national VAT or GST invoice regime.
