Prepare a quote for Brazil

A Brazil-focused quote gives the buyer a clear price before work starts, goods ship, or a service invoice is requested. It should show the seller, buyer, CPF or CNPJ where relevant, item descriptions, quantities, unit prices, currency, payment terms, delivery details, and the quote validity date. Treat it as a commercial offer, not the final fiscal document.

Brazilian invoicing is tax-document driven. NF-e model 55 covers ICMS and IPI goods operations, while NFS-e documents service provision under municipal ISSQN rules and the national NFS-e standard. A quote can prepare the data, but it does not replace an authorized NF-e XML or an issued NFS-e.

Separate quotes from fiscal documents

A correct quote labels itself as a quote, proposal, or estimate so the recipient does not mistake it for an authorized Nota Fiscal. For goods, the eventual NF-e is a digital-only XML document whose legal validity depends on electronic signature and tax-authority authorization before the taxable event. DANFE is only an auxiliary representation of that authorized XML.

For services, the formal document is NFS-e, not NF-e. MEIs providing services to other businesses must issue through the national public web or mobile issuers from September 1, 2023. Service invoices to individuals are generally required only if requested. Your quote should collect the service description, buyer details, and agreed price before that issuance step.

Include the fields buyers check

Brazilian buyers usually need enough detail to match the quote to a purchase approval, delivery, or service order. Include the legal seller name, trade name if useful, CPF or CNPJ, buyer name, buyer CPF or CNPJ, line items, discounts, freight or expense lines, payment method, due date, and bank or PIX instructions only when they belong in the commercial offer.

Tax treatment needs careful labeling. Brazil does not have one invoice tax label: NF-e is tied to ICMS and IPI operations, while services are under municipal ISSQN administration through NFS-e rules. A quote can show expected tax assumptions, but the authorized fiscal document controls the official tax record.
