An all-in-one invoice app is for building a finished invoice from the same place where you manage client details, line items, taxes, discounts, terms, and payment instructions. The practical goal is simple: send a document that tells the buyer who billed them, what they bought, how the total was built, when payment is due, and where payment should go.
For ordinary United States businesses, no single federal private-sector invoice form controls every invoice. Invoices still matter because they support business records. IRS Publication 583 lists invoices among supporting documents that record business transactions and show amounts and sources of gross receipts. Treat the invoice as both a client-facing request for payment and a record that must match your books.
A complete invoice starts with seller and buyer names, addresses, invoice number, issue date, due date, line items, subtotal, tax line when applicable, total due, payment terms, and remit-to details. Line items should identify the work or goods clearly enough for the buyer to approve payment without asking for a separate explanation.
An invoice is separate from a receipt, estimate, or quote. The invoice requests payment for work performed or goods sold. A receipt proves payment received. An estimate gives a pre-work price expectation, and a quote gives a firmer pre-work offer. Mixing those documents creates approval delays because the buyer cannot tell whether they owe money now or only reviewed a proposed price.
The United States does not use a national VAT or GST invoice regime, and there is no United States VAT/GST registration number for invoices. Sales and use tax obligations come from state and local jurisdictions. Rates depend on the applicable state and local rate, nexus, product or service taxability, and the place of sale.
Service taxability needs specific review because states treat services differently. California generally taxes retail sales of tangible personal property and only some service or labor charges, while Texas defines 16 broad categories of taxable services. A seller that makes taxable sales may need state-level sales-tax registration, such as a California seller's permit for covered retail activity in California.
A free invoice tool is enough for a one-off document when you already know the client, line items, tax treatment, due date, and payment terms. It works well for a simple PDF, a short job, or a client who only needs a standard invoice with no project history attached.
A managed workflow fits recurring client work, time-and-materials billing, changing rates, and invoice follow-up. Everhour separates internal cost rates from client-facing billable rates, supports per-person defaults and per-project overrides, preserves dated rate history, and can price billable work by project, member, or task before that work becomes an invoice.

An all-in-one invoice app should cover invoice creation, client records, line items, taxes or discounts when applicable, payment terms, and export or delivery. The useful test is whether you can move from source details to a finished invoice without rebuilding the same client, rate, and payment data in separate files.
A United States invoice does not need VAT or GST fields for a national VAT or GST system because the United States does not use one. Sellers that make taxable sales deal with state and local sales and use tax rules instead, including registration, nexus, rate, and taxability rules that vary by jurisdiction.
Every ordinary private-sector invoice does not need an EIN or TIN. Businesses commonly provide a Taxpayer Identification Number through Form W-9 when a payer needs it for IRS information returns. Federal contract invoices include a TIN only when agency procedures require it under the proper invoice rules.
The common mistake is storing the invoice PDF while leaving the source details scattered across notes, timesheets, spreadsheets, and emails. The invoice then looks finished, but rate changes, taxable line items, payment terms, and client approvals become hard to prove later. Keep the source data tied to the invoice record.
Federal procurement has defined proper invoice fields under FAR 32.905, including contractor details, invoice date and number, contract or order references, line items, payment terms, remittance details, and TIN or EFT data when agency procedures require them. FAR 32.904 generally uses a 30-day payment timing standard for most federal contract invoice payments.
Everhour separates cost and billable rates so reports can calculate labor cost, revenue, and profit before an invoice is prepared. Admins can use default per-person rates, per-project overrides, dated rate changes, and project, member, or custom task rates for different client billing arrangements.
Everhour Billing & Invoicing lets users select uninvoiced time and expenses, preview the breakdown, and generate an invoice without rebuilding timesheets manually. Invoice line items can be grouped by project, task, person, date, or other available breakdowns, then exported to QuickBooks Online, Xero, or FreshBooks.
Track rates, project work, and uninvoiced time before billing day. Everhour keeps cost and billable rate history connected to invoices for cleaner client billing.
