Use this page to prepare an invoice for freelance services, project work, or billable expenses. The finished document should identify the seller and buyer, assign a sequential invoice number, show the issue date and due date, list the work performed, and state the amount due. It should also give the client the payment terms and remit-to details needed to pay without asking follow-up questions.

A freelancer invoice is separate from a receipt, estimate, or quote. The invoice asks for payment after work or an agreed billing milestone. A receipt proves payment already arrived. An estimate or quote gives a pre-work price offer, with the quote usually treated as the firmer commercial document. Mixing those documents creates recordkeeping confusion for both you and the client.

Include the right invoice fields

A usable freelancer invoice starts with complete names and addresses for you and the client, then adds an invoice date, invoice number, due date, and payment terms. Line items should describe the service, quantity or hours, rate, and extended price. The subtotal, any tax line, discounts if used, total due, and payment instructions should appear near the final amount.

United States private-sector invoices do not follow one prescribed federal format or a national VAT/GST invoice regime. For federal tax records, invoices serve as supporting documents that help show business income and expenses. Federal contracts are different: FAR 32.905 defines proper invoice fields, including contractor details, dates, contract or order references, line items, payment terms, payee details, and TIN or EFT data when agency procedures require them.

Handle tax and identifiers carefully

A freelancer in the United States should treat sales tax as a state and local question, not a flat national add-on. Rates and taxability depend on the jurisdiction, the product or service, nexus, and where the sale is sourced. Washington, for example, has a 6.5% state portion plus a local portion that varies by city or county and is collected based on where the customer receives the goods or services.

Service taxability also changes by state and service type. California generally taxes retail sales of tangible personal property and only some service or labor charges, while Texas defines 16 broad categories of taxable services. A domestic invoice does not need a VAT or GST registration number. A seller that makes taxable sales may need state-level registration, such as a California seller's permit for taxable tangible personal property sales.

Use templates or tracked billing

A one-off template works when you bill a single client, have a short list of line items, and can confirm tax, terms, and payment details before sending. It also fits occasional work where you need a clean PDF for your records.
