Use an Australian quote to set scope, price, GST treatment, and payment expectations before work starts. The quote should name the seller and buyer, describe the goods or services, show quantities or hours, list rates, state whether prices include GST, and include an acceptance deadline. It is a commercial offer, not the tax invoice the buyer uses for GST credits after purchase.
Australia's GST rules shape the quote because the invoice that follows must be tax-ready. GST-registered suppliers charge 10% GST on taxable supplies. A business generally must register for GST once its GST turnover reaches A$75,000, with a A$150,000 threshold for non-profit organisations. Taxi, limousine, and ride-sourcing providers must register regardless of turnover.
A quote should show the supplier's Australian Business Number when the seller has one, because the ABN becomes a required tax-registration identifier on the Australian tax invoice. The ABN is an 11-digit identifier issued through the Australian Business Register. Add it near the seller name so the buyer can match the quote to the invoice, supplier record, and payment approval.
GST can appear as a separate line or inside GST-inclusive prices, as long as the buyer understands the pricing basis. Australian tax invoices can show the GST amount separately, or state that the total price includes GST when GST is exactly one-eleventh of the total price. For quotes, label estimated GST clearly and avoid mixing GST-inclusive and GST-exclusive lines without a visible subtotal.
A quote does not replace the tax invoice. For a taxable sale over A$82.50 including GST, a GST-registered supplier must provide a tax invoice within 28 days if the customer requests one. That later tax invoice must identify itself as a tax invoice and show the seller identity, ABN, issue date, supply details, price, GST details, and the taxable extent of each sale.
Higher-value invoices need one extra detail. If the total payable on a tax invoice is A$1,000 or more, it must also show the buyer's identity or the buyer's ABN. Capture that buyer information at quote stage when the expected job value reaches that level, because chasing it after approval slows invoicing and creates avoidable corrections.
A free quote tool is enough for a one-off job when you need a clean PDF or shareable estimate, the scope is stable, and the invoice will be prepared manually later. It also works for simple fixed-price work where the quote line items will not change after acceptance. Keep the accepted quote with the client record so the final invoice matches the approved scope.
A managed workflow fits better when quoted work turns into tracked time, reimbursable expenses, revisions, and staged billing. Everhour Billing & Invoicing converts tracked billable time and expenses into invoices, calculates invoice amounts from rates while excluding non-billable tasks, supports client defaults, and exports invoices to QuickBooks Online, Xero, or FreshBooks with status sync back to Everhour.

No. A quote is an offer or estimate issued before the buyer approves the work. A tax invoice is issued for a taxable sale and must meet Australian GST invoice requirements. For taxable sales over A$82.50 including GST, a GST-registered supplier must provide a tax invoice within 28 days if the customer requests one.
Yes, if the seller is registered for GST and the supply is taxable. Australia's GST on a taxable supply is 10% of the value of that supply, normally one-eleventh of the GST-inclusive price. The quote should say whether prices are GST-inclusive or GST-exclusive so the buyer does not approve the wrong total.
Show the supplier's ABN when the business has one, especially when the quote will become a GST tax invoice. The Australian Business Number is the 11-digit tax-registration identifier shown on Australian tax invoices for the supplier. Adding it to the quote helps buyer onboarding, payment approval, and invoice matching.
Australia uses the Peppol framework for eInvoicing, but ordinary businesses are not subject to a general national requirement to issue B2B invoices through Peppol. A quote can still be sent as a PDF, email, or system-generated document unless a contract or buyer process requires another format.
The common mistake is approving a GST-exclusive price without making that basis clear. The buyer expects one total, then the invoice adds GST and creates a dispute. State the subtotal, GST treatment, and total payable in Australian dollars, and collect the buyer identity or buyer ABN when the final tax invoice will be A$1,000 or more.
Everhour Billing & Invoicing turns tracked billable time and expenses into client invoices. It calculates invoice amounts from rates, time, and billable expenses while excluding non-billable work, then marks invoiced time so the same entries do not appear again on a later invoice.
Everhour exports invoices to QuickBooks Online, Xero, or FreshBooks as drafts for accounting review. The invoice status, number, issue date, and amount sync back to Everhour, so project billing records stay connected after the accounting tool manages the invoice.
Track billable work from approval to invoice with Everhour Billing & Invoicing, then send clean invoice data to accounting and protect each billed entry from reuse.
