Iran invoice details for emailed billing

Send a usable Iran invoice

An email invoice for Iran should give the buyer a complete billing record, not just a payment request. The document needs seller details, buyer details, invoice date, invoice number, line items, totals, payment instructions, and the correct tax treatment. For domestic taxable supplies, Iran uses VAT, called مالیات بر ارزش افزوده, for taxable goods, services, and taxable imports unless a statutory exemption applies.

Covered taxpayers under Iran's Point-of-Sale Terminals and Taxpayer System law must issue electronic invoices through the Taxpayer System. The emailed copy should match the official invoice record, including the unique tax invoice number generated through the taxpayer terminal or tax memory mechanism. Treat the email as delivery. Treat the Taxpayer System record as the controlled tax record for covered taxpayers.

Include the required invoice fields

A usable Iran invoice identifies the seller with the Iranian economic number and connects electronic invoices to the seller's tax memory or taxpayer-terminal identity. For business-to-business electronic invoices, include the buyer economic number or national ID. Consumer invoices use a simplified format, so the buyer field should match the transaction type instead of forcing a B2B identifier where it does not belong.

Line items need enough structure for tax and payment review. Iran's electronic invoice formats require goods or service ID, quantity or unit, unit amount, discounts, VAT and duties amount, and payable total. Domestic invoice and tax-reporting amounts are normally expressed in Iranian rial (IRR), even if the parties also reference another currency for commercial discussion.

Get the email copy right

The email subject and attachment name should make the invoice easy to find later. Use the buyer name, invoice number, and invoice date, for example: `Invoice 1403-018 - Pars Client - 2026-03-05.pdf`. The message body should state the amount due, payment due date, bank details or payment instructions, and the attachment name. Keep the payment note short enough that the invoice remains the controlling document.

The emailed attachment should not conflict with the Taxpayer System invoice. A common mistake is changing the PDF after the tax invoice number has been generated, then emailing a version with a different total, discount, VAT amount, or buyer identifier. Revise the official record first if the commercial details change. Then send the corrected copy with the updated invoice reference.

Use a tool or managed workflow

A free invoice tool is enough for a one-off invoice when you already know the buyer details, tax treatment, line items, and payment terms. It works well for a single sale, a small service job, or a corrected PDF that mirrors the official Taxpayer System record. You still need to check the transaction year because Iran's permanent VAT law sets the general tax and duties rate at 9%, while annual budget laws can change the effective rate for a fiscal year.

A managed workflow fits recurring client work, hourly billing, expenses, and invoices built from approved time. Everhour Billing & Invoicing converts tracked billable time and expenses into invoices, calculates invoice amounts from rates, excludes non-billable tasks, and supports client defaults such as taxes, discounts, and payment terms. That workflow reduces re-entry when project time becomes a client invoice.

Frequently Asked Questions

Is an emailed invoice enough for a covered taxpayer in Iran?

Covered taxpayers must issue electronic invoices through Iran's Taxpayer System under the Point-of-Sale Terminals and Taxpayer System law. Email can deliver a copy to the buyer, but the invoice record still needs the Taxpayer System structure and unique tax invoice number generated through the taxpayer terminal or tax memory mechanism.

Which VAT rate belongs on a domestic Iran invoice?

Iran's permanent VAT law sets the general tax and duties rate for ordinary taxable goods and services at 9%. Annual budget laws can change the effective rate for a fiscal year, so use the rate that applies to the transaction year instead of copying an old invoice template.

What buyer identifier should a B2B Iran invoice show?

A business-to-business electronic invoice should include the buyer economic number or national/legal-person identifier as part of the buyer information. Simplified consumer invoices use a different format, so the identifier requirement changes with the buyer type and invoice format.

Should an Iran invoice show amounts in IRR?

Domestic invoice and tax-reporting amounts are normally expressed in Iranian rial (IRR), Iran's official currency. Commercial parties can reference another currency where appropriate, but the invoice total, VAT amount, duties amount, and payable total should preserve the IRR values needed for tax reporting.

What mistake makes an emailed Iran invoice unreliable?

A mismatch between the emailed PDF and the Taxpayer System invoice creates review problems. The buyer name, economic number, line items, discounts, VAT and duties, payable total, and unique tax invoice number should match the official electronic invoice record.
