The finished invoice should show who sold the service, who bought it, the invoice number, issue date, due date, service lines, rates, subtotal, tax line when applicable, total due, payment terms, and remit-to details.
A copywriter invoice is different from a quote, estimate, or receipt. A quote or estimate gives the client a pre-work price. An invoice requests payment after work is delivered or under an agreed billing schedule. A receipt confirms payment received. Keeping those documents separate helps the client approve the right step and gives you cleaner records for income, expenses, and payment follow-up.
Each invoice line should name the deliverable in plain language. A useful line item can read, "Homepage rewrite, 1 project, $850," or "Email sequence copy, 5 emails, $150 each." Hourly work needs the service, hours, rate, and date range. Fixed-fee work needs the deliverable and agreed price. Retainers should state the billing period and included service scope.
Add payment terms that match the contract or client agreement, such as due on receipt, net 15, or net 30. Include the payment method your business accepts and any late-fee policy only if the client already agreed to it. United States coins and currency are legal tender for debts, taxes, and dues, but no federal statute requires private businesses to accept cash unless state law says otherwise.
The United States does not use a national VAT or GST invoice regime, so a copywriter invoice should not include a national VAT number. Sales and use tax obligations come from state and local rules. Service taxability also varies by state and service type. California generally taxes retail sales of tangible personal property and only some service or labor charges, while Texas defines 16 broad categories of taxable services.
There is no prescribed federal private-sector invoice form for ordinary businesses. For federal tax records, businesses may choose any recordkeeping system suited to the business if it clearly shows income and expenses. Invoices serve as supporting documents that show business transactions and the amounts and sources of gross receipts. Federal contracts are different because FAR rules define proper invoice fields and payment timing.
A one-off template is enough when you have a single client, a fixed project price, and a simple payment request.
