Teams that organize work in Basecamp need time captured against the to-dos that produced it. The practical goal is a clean hour record for an Ireland-based project: who did the work, which Basecamp project it belongs to, which to-do it came from, the date, the duration, and a short note when the entry needs explanation.
That structure matters when one project includes client tasks, internal coordination, and review work. A useful record does not say only `design work, 3 hours`. It points to the Basecamp to-do, keeps the project context intact, and gives the reviewer enough detail to decide whether the time belongs in billing, payroll review, a project report, or a cost check.
A timer fits active work on a specific Basecamp to-do. Start it from the to-do, stop it when the work stops, and keep the entry attached to the same project and list context. This works well for development, design, writing, support, and other focused tasks where the person starts with a known to-do and finishes with a measurable block of time.
Manual entry fits work recorded after the fact, such as a meeting, review session, or short task completed away from the browser. The entry still needs the same core fields: person, date, duration, project, to-do, and note when the time is not obvious from the task title. Mixed timer and manual records stay usable when the method is visible and the reason for each manual entry is clear.
Ireland-based client work often needs time records that are easy to read across delivery, billing, and management review. The to-do title should name the work clearly, the note should explain unusual time, and the date should reflect when the work happened. Avoid using one catch-all to-do for a week of unrelated activity, because that collapses useful project detail into a vague total.
Basecamp also includes project surfaces beyond to-do lists, such as messages, schedules, and files. Time records still need a task anchor. If a message or schedule item creates work, log the time against the related Basecamp to-do or create a to-do that describes the deliverable. Everhour's Basecamp reporting centers on projects, lists, to-dos, task IDs, and task status, so that attachment path keeps reports readable.
A one-off time entry is enough when you only need a quick record for one Basecamp to-do or a small internal check. It stops being enough when several people log time, entries need approval, time periods need locking, or billable and non-billable work must stay separated before client billing or payroll review.
Everhour turns Basecamp to-do time into a managed workflow. Basecamp projects can sync into Everhour, browser controls can capture time from inside Basecamp, and admins can use approvals, locked periods, reports, billable settings, task-level non-billable controls, custom rates, and budget emails at 50%, 80%, or custom thresholds when project work needs a durable record.

Log time against the Basecamp to-do that represents the work, then keep the entry tied to the project, date, duration, person, and a short note when the task title does not explain the work. Avoid recording Ireland-based project time only as a daily total, because that weakens billing review, management reporting, and later corrections.
Attach the entry to the related Basecamp to-do. If the message or schedule item creates a new piece of work, create a to-do for that deliverable and log the time there. Everhour's Basecamp reporting uses project, to-do, list, task ID, and task status fields, so to-do attachment keeps the record in the report structure.
Require a note when the duration looks unusual, the work is not clear from the to-do title, the entry was added manually after the work, or the time covers review, coordination, or rework. A useful note states the actual activity, such as `client changes to onboarding copy`, instead of repeating the project name.
Set billing status at the project level, then mark specific tasks non-billable when a billable project contains internal work. For projects billed by member rate, a member's project rate can be set to 0 when all of that person's time on that project should stay non-billable. Keep those decisions consistent before invoices or reports use the hours.
The biggest mistake is logging time away from the to-do that caused the work. A total such as `Basecamp project, 12 hours` cannot show which deliverables consumed the time, which person handled each task, or which entries belong to billable client work. Attach each entry to the closest Basecamp to-do and use notes for exceptions.
Everhour Billing & Invoicing converts tracked billable time and expenses into client invoices, calculates amounts from rates while excluding non-billable tasks, and supports client defaults such as contacts, taxes, discounts, and payment terms. Invoices can be exported to QuickBooks Online, Xero, or FreshBooks with status details synced back to Everhour.
Everhour Timesheets collect project hours and working hours by person so managers can review submitted time before billing, payroll, or reporting. Managers can approve, reject, or partially approve time, while submitted and approved entries stay locked for regular members unless withdrawn or rejected.
Track approved Basecamp time in Everhour, keep billable work separated from non-billable tasks, and export generated invoices to QuickBooks Online, Xero, or FreshBooks.
