Use this page to organize psychologist time by client-facing sessions, assessments, testing, family or group work, treatment planning, reports, and administrative work. A solo clinician may need a weekly view before creating invoices. A clinic, school, or hospital team may need daily and weekly hours by person for payroll, department, or utilization review. The useful outcome is a record that shows the work category, date, duration, person responsible, and billing or nonbilling status without exposing more client detail than necessary.
Psychologists work in several patterns: school staff, ambulatory healthcare employees, hospital or government teams, and self-employed practices. U.S. data for 2024 shows local elementary and secondary schools, ambulatory healthcare services, and self-employment each account for 24%, 24%, and 23% of psychologist employment. Most psychologists work full time, and part-time schedules, evening appointments, and weekend appointments are also common, so the record needs dates and actual hours rather than a single monthly estimate.
Start each entry with date, clinician, work setting, service or task category, start and stop time, duration, client or case reference, billable status, and documentation status. Useful categories include psychotherapy, family psychotherapy, group psychotherapy, psychological and neuropsychological testing, treatment planning, report writing, and administrative time. For Medicare mental-health billing, every billed service needs a specific sign, symptom, or patient complaint; Medicare does not pay for services without patient symptoms, complaints, or specific documentation.
A defensible line can read: March 5, 2026, Dr. Lee, CPT 90834 psychotherapy, 45 minutes with the patient, 2-way audio-video telehealth, billable, complaint documented in the clinical record. A separate line can record 30 minutes preparing a report as non-covered internal documentation if that time is not separately reimbursable. CMS lists preparing reports among non-covered mental-health services, so practices should label documentation and report preparation separately from reimbursable clinical service time.
Psychology time records sit close to protected information because a time entry can connect a person to mental-health care, payment, or treatment context. HIPAA protected health information includes identifiable information about a person's past, present, or future physical or mental health, health care provided, or payment for care when a covered entity or business associate holds or transmits it. Use client IDs, matter numbers, or internal case references where possible, and keep diagnosis-level detail inside the clinical record.
The same privacy discipline applies to employee time data. U.S. businesses handling personal information must avoid unfair or deceptive practices under Section 5 of the FTC Act, and FTC guidance says companies that keep sensitive customer or employee information should collect only what they need, protect it, and dispose of it securely. California adds a major example: CCPA privacy rights cover California resident employees and job applicants for covered businesses because employment-data exemptions expired on December 31, 2022.
A simple free tracker is enough when you need a quick weekly total for a solo practice, a simple invoice backup, or a check against your calendar. It works best when the week has a small number of appointments and you can label each block immediately. Keep the export with billing records. For employees covered by the FLSA minimum wage or overtime provisions, the employer record must include hours worked each workday and total hours worked each workweek.
A managed workflow becomes necessary when several psychologists or administrative staff track time across client references, testing, reports, payroll, and utilization. Everhour fits that workflow by turning logged task and project time into reports that can be grouped, filtered, and exported for review. The long-term goal is a consistent system of record: entries get categorized at the source, reviewed on a schedule, and handed off for billing or payroll without rebuilding the week from memory.

Track client-facing interviews and psychotherapy, family or group therapy, assessments, diagnostic testing, treatment planning, report writing, and administrative work as separate categories. CMS mental-health code categories also distinguish psychotherapy, family psychotherapy, group psychotherapy, testing, and preparation of psychiatric status, history, treatment, or progress reports. Separate categories make billing support and noncovered work review cleaner.
No. CMS lists preparing reports among non-covered mental-health services. Record the time because it affects workload and utilization, then label it separately from reimbursable clinical service time unless a payer, grant, employer policy, or contract specifically treats it as payable. Keep clinical rationale in the clinical record rather than the time entry.
Use the least identifying detail needed for billing, payroll, or internal review. HIPAA protected health information includes identifiable mental-health care, health care provision, or payment information when held or transmitted by a covered entity or business associate. A client ID, coded case reference, service category, and duration usually support time review better than a name plus diagnosis in the time log.
Label the delivery mode, duration, clinician, date, service category, and billing status. CMS covers behavioral and mental-health telehealth on a permanent basis and defines telehealth as 2-way real-time audio-video. Audio-only service is allowed in limited cases when a patient has technological limitations, abilities, or preferences, so the time entry should distinguish audio-video from audio-only sessions.
Evening or weekend appointments do not create overtime under the federal FLSA baseline by themselves. Covered nonexempt employees must receive overtime for hours worked over 40 in a fixed 168-hour workweek at not less than one and one-half times the regular rate. Do not average a light week with a heavy week to avoid overtime. State law, policy, or contract terms can add stricter rules.
Everhour Reporting turns logged work categories, budgets, costs, and project data into customizable reports with 45+ columns, metadata filters, grouping, and date ranges. A practice manager can group time by clinician, project, client reference, billable status, or work category, then export CSV, Excel/XLSX, or PDF files for review.
Everhour Timesheets let users submit weekly project hours or working hours, and managers can approve, reject, or partially approve them before payroll or billing review. Submitted time is locked unless withdrawn or rejected, so corrections leave a clearer review path than editable spreadsheet totals.
Track session categories, testing, report work, and administration once, then use Everhour Reporting to group, filter, schedule, and export time data for clearer billing, payroll, and utilization review.
