Most psychologists work full time, and part-time schedules, evening appointments, and weekend appointments are also common, so the record needs dates and actual hours rather than a single monthly estimate.

Build entries around clinical categories

Start each entry with date, clinician, work setting, service or task category, start and stop time, duration, client or case reference, billable status, and documentation status. CMS lists preparing reports among non-covered mental-health services, so practices should label documentation and report preparation separately from reimbursable clinical service time.

Protect privacy and billing boundaries

Psychology time records sit close to protected information because a time entry can connect a person to mental-health care, payment, or treatment context. HIPAA protected health information includes identifiable information about a person's past, present, or future physical or mental health, health care provided, or payment for care when a covered entity or business associate holds or transmits it. Use client IDs, matter numbers, or internal case references where possible, and keep diagnosis-level detail inside the clinical record.

The same privacy discipline applies to employee time data. U.S. businesses handling personal information must avoid unfair or deceptive practices under Section 5 of the FTC Act, and FTC guidance says companies that keep sensitive customer or employee information should collect only what they need, protect it, and dispose of it securely. California adds a major example: CCPA privacy rights cover California resident employees and job applicants for covered businesses because employment-data exemptions expired on December 31, 2022.

Choose one-off or managed tracking
