User-friendly invoicing software should help you create a client-ready invoice without making the basic fields hard to find. Start with seller and buyer details, an invoice number, issue date, due date, line items, subtotal, tax line, total, payment terms, and remit-to information. Each field supports either payment, recordkeeping, or a contract trail.
A United States private-sector invoice does not follow one prescribed federal form. IRS Publication 583 treats invoices as supporting documents that help show business transactions and gross receipts. That leaves ordinary businesses room to choose a practical format, but it does not remove the need for consistent numbering, clear descriptions, accurate amounts, and payment instructions the client can act on.
A user-friendly invoice should never hide tax decisions behind a single automatic percentage. The United States does not have a national VAT or GST invoice regime. Sales and use tax comes from state and local rules, and the correct treatment depends on nexus, the product or service sold, and where the sale is sourced.
Washington, for example, has a 6.5% state sales tax portion plus a local portion that varies by city or county and is based on where the customer receives the goods or services. Service taxability also varies. California generally taxes retail sales of tangible personal property and only some service or labor charges, while Texas defines 16 broad categories of taxable services.
Easy invoicing depends on review order. Enter client details first, add invoice dates and payment terms, then build line items with quantity, rate, and description. A service line can say `Website maintenance, 6 hours at $95 per hour`, followed by the subtotal, any applicable tax line, and the final amount due.
A good workflow also separates invoices from nearby documents. An invoice requests payment for goods or services. A receipt proves payment received. An estimate gives a pre-work price expectation, and a quote is a firmer pre-work offer. Mixing those documents creates bookkeeping cleanup because the document no longer tells the reader whether payment is requested, promised, or already received.
A free invoice tool is enough when you need a single PDF, a straightforward client bill, or a quick document for a completed job. It works best when the source numbers already exist, the tax decision is already known, and the client does not need a detailed time breakdown.
A managed workflow becomes better when tracked billable time, project costs, approvals, and invoice status need to stay connected. Everhour Billing & Invoicing can turn uninvoiced time and billable expenses into invoices, apply project or member rates, exclude non-billable work, and mark invoiced time so the same hours do not appear on a later invoice.

Useful invoicing software keeps the core fields visible: seller and buyer details, invoice number, issue date, due date, line items, subtotal, tax line, total, payment terms, and remit-to information. The software should make these fields easy to check before sending, because missing client details, unclear line items, or vague payment instructions slow down approval and payment.
A United States invoice does not use a national VAT or GST registration number because the United States does not operate a national VAT or GST invoice regime. Sellers that make taxable sales may need state-level sales-tax registration, such as a California seller's permit for retailers engaged in business in California selling taxable tangible personal property.
Easy invoicing software should let you enter or apply the correct tax treatment, but a single automatic rate is not enough. United States sales and use tax depends on state and local rules, nexus, item or service taxability, and sourcing. The practical mistake is accepting a default tax line before confirming whether the sale is taxable in the applicable jurisdiction.
Private United States businesses do not have one federal invoice-number format for ordinary invoices. A consistent sequential system still matters because it helps connect invoices to payments, bookkeeping entries, and client records. Federal contract invoices are different: FAR 32.905 includes an invoice date and number among the fields for a proper invoice.
Federal contract invoices have defined requirements under FAR 32.905, including contractor details, invoice date and number, contract or order references, line-item descriptions, quantities, prices, payment terms, remittance details, contact information for defects, and TIN or EFT banking data when agency procedures require them. FAR 32.904 generally uses a 30-day payment timing standard for most federal contract invoice payments.
Everhour Billing & Invoicing lets you select uninvoiced time and expenses, preview the breakdown, and generate an invoice without rebuilding timesheets by hand. It calculates amounts from billable time, project or member rates, and billable expenses while excluding non-billable work.
Everhour Reporting gives teams customizable reports with 45+ columns, filters, grouping, date ranges, and exports in CSV, Excel/XLSX, or PDF. Invoice review can include billable time, non-billable time, billable amount, costs, profit, invoice status, and project details before the billing record moves forward.
Use Everhour to connect billable time, expenses, rates, and invoice status in one workflow, so client billing starts from approved work instead of rebuilt spreadsheets.
