Use a Saudi Arabia quote when a buyer needs prices, scope, payment terms, and approval before work begins. The quote should name the seller and buyer, describe the goods or services, show quantities, unit prices, discounts, VAT treatment, and the total payable in Saudi riyals. A buyer can approve the quote, request changes, or use it to issue a purchase order.
A quote is a pre-sale document, so it does not replace a Saudi VAT tax invoice. It still needs disciplined fields because the accepted quote often becomes the invoice source. If the later supply is taxable, Saudi Arabia's standard VAT rate is 15% unless the supply is zero-rated or exempt. Clean quote data prevents retyping mistakes when the final invoice is prepared.
Start with a unique quote number, issue date, valid-until date, seller details, buyer details, and a short project or order reference. Add one line per service or item with a description, quantity, unit price, discount, VAT rate, and line total. Put payment terms and delivery assumptions near the total so the buyer sees the commercial conditions before approving.
Saudi tax invoices have stricter rules than quotes, so collect the fields that make conversion easier. A full Saudi tax invoice must show a sequential invoice number, issue date, supply date when different, supplier name, address, and tax identification number. Buyer tax identification details are required where the customer is accountable for VAT. Keeping those fields in the quote record reduces cleanup later.
Saudi VAT invoices must be issued in Arabic, in addition to any other language used. A quote can be bilingual when the buyer works in English, but the invoice stage needs Arabic-ready names, addresses, descriptions, and tax labels. Treat the quote as the place to confirm spellings before the sale becomes a formal tax document.
The VAT amount payable on a Saudi tax invoice must be shown in Saudi riyals, even when commercial amounts also appear in another currency. For a quote, use SAR as the main pricing currency when the buyer expects a Saudi invoice. If the business discusses a foreign currency for budgeting, still keep a SAR total available for approval and later invoicing.
A one-off quote tool is enough when you need a fast price proposal for a small job, a single buyer, or a low-volume service order. It gives you a presentable document, a clear total, and a record of what the buyer reviewed before work started. Save the approved version with any email approval or purchase order.
A managed workflow fits recurring client work, team delivery, and time-based pricing. Everhour supports separate cost and billable rates, per-person defaults, per-project overrides, dated rate history, and pricing by project, member, or task. That structure keeps quote assumptions, delivery rates, and later invoice amounts aligned when several people contribute to the same Saudi client engagement.

A Saudi quote is a commercial offer before the buyer accepts the work. A Saudi tax invoice records a taxable supply after the invoice is issued. The invoice has VAT compliance requirements, including required identity fields, line details, VAT amounts, and Saudi e-invoicing rules under ZATCA for covered taxpayers and invoice issuers.
A quote should show VAT treatment when the buyer needs the expected total cost before approval. For taxable supplies in Saudi Arabia, the standard VAT rate is 15% unless the supply is zero-rated or exempt. Label the amount as quoted VAT or estimated VAT until the final tax invoice is issued.
A quote should collect Arabic-ready information because Saudi VAT tax invoices must be issued in Arabic, in addition to any other language used. For buyer approval, a bilingual quote is practical when the commercial team works in English, but the final invoice record needs Arabic names, descriptions, and tax wording.
The quote should capture seller and buyer names, addresses, tax identification details, item or service descriptions, quantities, unit prices, discounts, VAT rate, VAT amount, and SAR totals. Those details map directly to the information a Saudi tax invoice requires, so the approved quote becomes a reliable source instead of a rough estimate.
Saudi e-invoicing rules apply to tax invoices and notes, not ordinary sales quotes. Phase 1 requires covered VAT taxpayers, except non-resident taxpayers, and parties issuing tax invoices on their behalf to generate and store tax invoices and notes through compliant electronic solutions from December 4, 2021. Phase 2 integration with ZATCA began January 1, 2023 in waves.
Everhour separates internal cost rates from client-facing billable rates, with default per-person rates and per-project overrides. Dated rate history preserves older calculations, so a team can quote Saudi client work using the correct project, member, or task rate for the period being priced.
Everhour Billing & Invoicing can generate invoices from uninvoiced billable time and expenses, calculate amounts from rates and billable expenses, and exclude non-billable work. Invoice line items can be grouped by project, task, person, date, or another available breakdown before export to QuickBooks Online, Xero, or FreshBooks.
Keep quoted rates, tracked delivery time, and client billing in one workflow. Everhour connects rates, project work, and invoicing so approved Saudi client work becomes accurate billable revenue.
